Why have I been invited to join TDABids.com?
You may have been invited to join TDABids because your company/department is using TDABids.com to manage all of their translation and proofreading projects. Or your LSD is using TDABids.com. If you are currently using an LSD to manage your translation projects, the LSD may have switched to using TDABids.com, which is a new, online translation management software that provides Buyers and Vendors access to their own files. It also allows direct communication between all parties involved (i.e. LSD, Buyer and Vendor).

Yes, Translatus will continue to remain your LSD. However, Translatus is now using TDABids.com to manage all of its projects and therefore, you will be invited to register with it at some point. TDABids.com will also provide you with the option to manage a project yourself or to manage it through your preferred LSD.

Yes. TDAHome and TDAbids.com are two completely separate entities and in order for you to contact either the LSD or Vendors (as well as for them to contact you), you will need to have a completed profile in TDABids.com.

How can I change my email address?
1) Log into TDABids.com (
http://www.tdabids.com).
2) Click on the
Settings tab at the top. You will see your
Contact Information.
3) Click on the
“Edit" button at the bottom of your contact information. This will provide you with the option to
Change Contact Info,
Change Email and
Change
Password.
4) Click on Change Email in the left menu.
5) Enter your new email address.
6) Click on the “Apply Changes” button to save and update this information.
This new email address will also become your username the next time you log into TDABids.com.

What are placeholders?
Placeholders are tags used to reserve space in the P.O template for real information.
For example, after you enter projects details such as dates, notes for translators, billing instructions, project deadlines, etc., this information will be saved and later included in the PO (where you designated the placeholders) to be sent to the vendor.

What is the difference between a Primary Administrative Account, Administrative Account and a User Account?¶
There are three types of buyer accounts.
1) Primary Administrative Account is an account that represents a group of Buyers within a company, for example the Human Resources department. This account is
designated by the Language Service Provider account linked to the account. The primary administrative account can create as many Administrative and User accounts as needed for its department by entering e-mail addresses and creating a password for each account.
2) Admin Accounts are buyer accounts with administrative privileges. In addition to all of the User Account capabilities, Admin accounts can create and delete user
accounts, create lists of favorite vendors for other buyers to use and view all projects in progress under the same Primary Administrative Account.
3) User accounts can upload projects and buy language services based on the parameters set by the Primary Administrative Account.

How do I log into my account?
To log into your account:
1) Visit the TDABids website (http://www.tdabids.com).
2) Click on Login at the top right corner.
3) Enter your email address and your password.
4) Click on the “Login" button below.

What is my username?
Your username is the email address you used to register with TDABids. All notifications and project messages from TDABids will be sent to this address.

I am entering my correct password (or username) but I keep getting an error message. Why?
Your email address has not been verified. After registering with TDABids, you would have received an email from noreply@tdabids with the subject title “Notification of Registration” to confirm your username and password. It contains a link to verify your e-mail address.
Please click on this link which will redirect you to the TDABids website. You will then be able to log into TDABids with your username and password.

I forgot my password. How do I retrieve it?
To retrieve your password:
1) Click on the Login link in the upper right corner of our web page.
2) Click on the link provided in the section Login Troubleshooting at the bottom right of the Login page.
3) Enter your username (your email address you used to open your TDABids account).
4) An email will be sent to the registered email address with your password.

You will have to contact your LSD. If your LSD is using TDABids.com, then it may have registered your email address already.

Managing Vendors
I'm trying to assign a vendor to a project but he/she is not appearing as an option. I know that the vendor is registered in the database. Why is this?
There could be several reasons.
The vendor has deactivated his/her account in TDABids:
If the vendor has deactivated his/her account, then he/she doesn’t want to be contacted (on vacation, too busy, sick, etc). The vendor has the right to deactivate his or her account if they do not wish to be contacted by Buyers.
You may contact the Vendor via telephone or email and ask him/her to activate his/her account.
The vendor has not updated his/her language pairs:
If a vendor has not updated his/her language pairs - when you try and assign that person to the specific language task (for example, the task is English to German but the vendor has listed his/her language pair as French to German), he/she will not appear in your search. You will have to contact the vendor via telephone or email and ask him/her to update his/her language pair(s).
The vendor may not have his/her native language listed or the native language is wrong.
This still concerns updating the vendor's language pairs. If the vendor has not listed his/her native language or has listed the incorrect language, then he/she will not show up when you are trying to assign them to a project.
Contact the vendor and get him/her to check/update their language pairs.

How can I find out if a vendor has de-activated his/her account?
TDABids.com will only show you those vendors whose accounts are activated. If a vendor doesn't appear in your search, the vendor may have deactivated his/her account.

Creating a new project
What is a bid request?
A bid request is what is sent out to vendors to check if they are available to work on a project for you.
A bid request will contain the following notes:
• Delivery due date
• Return format (in what format you want the files to be returned)
• CAT Tools (if you require the vendor to use CAT tools)
• TM readout (optional)
• Quote (can be left blank for vendors to state their own price)
• Request notes (optional notes for translators about the project)
Important! The quote and TM readout can be left blank so that the vendor may enter his/her price for the project.

What is the bidding deadline?
The bidding deadline is the timeframe for the vendor to confirm his/her availability to work on a project. If the vendor does not wish to work on a project or will not be available, he/she can decline the bid request.

I can see the project details but I can’t see the quote. How can I see the quote?
To view the quote, you will need to view the Vendor's details in the project. To do this:
1) Access your project
2) Click on the Tasks tab beneath the project name
3) Click on the specific task (for example, to Czech (CZ))
4) Click on Assignments in the left menu. You will see the vendors that you added to the task.
5) Click on Manage next to the vendor’s name. You will then see the Assignments table (labeled as ‘Review Assignments’). If the vendor has replied to your request,
you will also see their edits to the quote or request details, if they have made any, in this table.
6) Scroll down to "Quote: defined: 00.00 XXX - read more” in the table.
7) Click on the read more link to expand the quote.

I noticed after I approved a bid request that the project had extra/less words. How can I inform the vendor and change the quote to issue an amended purchase order?¶
1) Access your project.
2) Click on the Tasks tab beneath the project name
3) Click on the specific task (for example, to Czech (CZ))
4) Click on Assignments in the left menu. You will see the vendors that you added to the task.
5) Click on Manage next to the vendor’s name. You will then see the Assignment table (labeled as ‘Review Assignments’). If the vendor has replied to your request, you will also see their edits to the quote or request details, if they have made any, in this table.
6) Scroll down to "Quote: defined: 00.00 XXX - read more” in the table.
7) Click on the “Edit/pencil” icon on the right.
8) Select the type of mode you wish to use.
a. Simple Mode – Just enter the new amount of the quote. This becomes the new quote price. Click on “Update” once you’ve entered the new amount.
b. Custom Mode – You can enter a more detailed description of the amendment here. Click on “Add Quote Item” after entering the details and then click on the “Update” button.
c. TM Discounts Mode – fill in the form for a new TM readout and enter the vendor's rates yourself. Select the currency for the vendor. Click on “Update”.
d. TM Discounts (pre-filled) – fill in the form for a new TM readout. The vendor’s rates and currency have already been filled out for you. Click on "Update".
9) You will see the Review Assignment table again after updating the quote amendment. The Quote row in the table will be highlighted in yellow, indicating that the
vendor needs to approve it.
10) Click on the “Send for Review” button. A message will appear briefly saying "Success. Request has been sent" at the top left of your screen.

Managing a project
How can I add a new language pair?
Adding a new language pair is the same as adding a new task to the project.
1) Access your project.
2) Click on the Tasks link just below the project name. Your Tasks Overview page will appear.
3) Click on ‘Add New’ in the left menu. You will see the option to enter a new language pair.
4) Fill in the required fields.
a. Target Language – select a language from the drop down list.
b. Target Country – optional. Select a country from the list.
c. Task Type – select the type of task from the drop down list (translation, proofreading, other)
5) Click on the “Add” button to add the new language pair/task to the project.

Why is the Assignments table in different colors?
The different colors in the table indicate the status or actions needed to be performed on a task (project details) either by you or the vendor.
• Green – both sides have approved that specific project detail
• Yellow – one side has made a change to the project detail and it now needs approval from the other party.
• Pink – one or both sides have not agreed to the change of a project detail

How do I approve an amendment or task in the Assignments table?
In the first column of the Assignments table, you will see either checkboxes or checkmarks. The checkboxes/checkmarks on the left are for the Vendor to approve/disapprove and the ones on the right are for you.
1) Access the Assignments table.
2) To approve a task, tick the checkbox on the right.
3) If every single row in the table is green (i.e. both parties have agreed to each task for that project), you can send the Purchase Order to the Vendor.
4) Click on the “Send P.O.” button to send the P.O to the vendor.

To amend a task, you will need to edit the task before you can send it off for review by the vendor.
1) Access the Assignments table.
2) Click on the “Edit/pencil” icon for the specific task in the table.
3) Enter the changes to the task and click on the "Update" button.
4) Click on the “Send for Review” button.

How do I know if my quote was accepted?
You will receive an email notification from Translatus/TDABids with the subject " TDABids: Vendor has responded to the bid request”.
You can then access the project and view the Assignments table. If the Vendor has made any amendments to the project's tasks (for example, Delivery Due Date, Return Format, CAT Tools, TM Read-out, Quote, Request Notes), these areas will be highlighted in yellow.

Where can I view the project deadline?
You can view the project deadline on the Project Info page under Project Details.
1) Access the project (Click on the Projects tab, select the project from the list by clicking on its name). Your Project Info page will appear.
2) Click on Project Details in the left menu. The project deadline is listed as the due date on the right.

I submitted a project for immediate processing by accident. How can I change this?
Contact your LSD immediately to notify them of your error.

I inserted the wrong target language pair. The quote has already been requested/submitted for processing. What should I do?
Case 1: For the LSD
Inform the LSD of the error and the correct task to add. The LSD will then change the quote accordingly to reflect the correct language pairs.
Case 2: For the Vendor
You will not be able to delete the task (current language pair). However, you can add a new task to the project. See topic Adding a new task to the project.

I uploaded the wrong source language. How can I change this?
Scenario 1: Before requesting a quote/bid:
You have the option to delete the project on your Project Info page under Workflow.
To do this:
1) Access your project. You will see your Project Info page and Workflow will be highlighted in your left menu.
2) Click on the “Delete Project” button. A pop up window will appear asking “Are you sure you want to delete this project?”.
3) Click on “OK”. A message will appear briefly saying “Success. Project has been deleted.”
Scenario 2: Quote already requested from LSD:
You will need to create a new project.
Contact your LSD immediately and notify them of your error. The LSD will need to issue you with a quote for a zero amount as they cannot change the source language once a project has already been created.
The quote should state the reason (e.g. wrong source language uploaded) and have a zero amount in it. You will need to "Approve the LSD Quote”.
The LSD will then complete the project for zero amount. Once the project’s status is set to completed, you will need to approve the project thus officially closing the project. You must then create a new project.

How can I see a Vendor’s bid?
You will receive a notification email from noreply@tdabids.com with the subject "TDABids: Vendor has responded to the bid request". The email will provide you with a link to that specific project.
To view the vendor’s bid:
1) Access the project (skip this step if you clicked on the link provided in the notification email). You will see the Project Info page.
2) Click on the Tasks link, just below the project name.
3) Click on the specific language tab (for example, to Czech).
4) Click on Assignments in the left menu. You will see your list of vendors selected for that particular task. Under the Cost column, you will see their bids.

How can I change the quote?
Once a P.O. has already been issued to the vendor, or if you have already approved a quote from the LSD, then the only way to change a quote is to make a quote amendment.
To issue a quote amendment for the vendor:1) Access the project. You will see the
Project Info page.
2) Click on the
Tasks link, just below the project name.
3) Click on the specific language tab for that vendor (for example, to Japanese).
4) Click on Assignments in the left menu. You will see your list of vendors selected for that particular task.
5) Click on Manage for that particular vendor. You will see the
Assignments table,
Additional Request Details (for that vendor), the issued
P.O. and
Quote Amendments.
6) Click on
‘Add New’ under
Quote Amendments.
7) Enter the reason for the quote amendment.
8) Check the
“Add Quote Item” box.
9) Fill in the details of the quote amendment (for example):
a. Item Description: 50 less words to translate
b. Unit Name: words
c. Rate: -0.12
d. Quantity: 50
e. Total: xxx (this is automatically calculated)
10) Click on
“Add”.
Note: the amendment is not confirmed until the vendor/LSD has approved it.
To issue a quote amendment for the LSD1) Access the project. You will see the
Workflow page (left menu) under
Project Info which lists the
“Quote from LSD”.
2) Click on the
‘LSD Quote Amendments’ tab (next to Quote from LSD)
3) Click on
‘Add New’.
4) Enter the reason for the quote amendment.
5) Click on
“Add”.
The LSD will then adjust the quote accordingly and approve the amendment. Once the amendment is approved, it will show up in green.

This means that an amendment has been made to one of the tasks and is waiting for your approval. You will also notice that the first column of the table has either 2 checkmarks, no checkmarks, or one checkmark and one empty checkbox.
The second column of checkmarks or checkboxes shows what you have approved or need to approve. Similarly, the first column of checks or checkboxes shows what the vendor/LSD has approved or needs to approve.
To approve an amendment,
1) Check/mark the box in the second column. If both you and the vendor have approved the amendment, the row will be highlighted in green.

Back to topVendor cannot see the due date in the P.O. Why is that?
If you entered a delivery due date while creating the bid request for the vendor, this would automatically reflect in the P.O. If you had not entered a due date, then the P.O. will not automatically reflect it. You can however, edit the P.O. by entering the due date before sending it to the vendor.

If you have not requested a quote from the LSD or sent bid requests to vendors, you have the option to edit the project details. On your
Project Info page, click on the
“Edit Project” button to return to editing your project details.
If you have already requested for a quote from the LSD or sent out a bid request to vendors, you won’t be able to change the project due date. You can however, inform the LSD or vendor of the incorrect due date. Vendors will be able to correct the due date in their
Assignments table which you can then approve while LSDs can make note of the due date and inform their translators accordingly.

Do I have to log into TDABids.com to see my messages as I can already read them in my email inbox?
No. However, if you wish to reply to the message, you will have to log into your TDABids.com account. All correspondence pertaining to a project must originate from within the TDABids.com site.

1) Check your
Sent box. If you do not see a copy of the e-mail you sent, then you have not been sending messages correctly from TDABids.com and the Vendor/LSD did not receive your message. See related topic:

2)Also ask the vendor/LSD to check his/her
Inbox in TDABids.com for an e-mail with a reference to the specific project.

Why is the vendor or LSD not receiving any email notifications from TDABids?
1) Ask the vendor/LSD to check for any email notification from
noreply@tdabids in their e-mail account. Ask them to check their SPAM folders as well.
2) If you have sent project requests, double check each vendor’s status in TDABids.com (it should be set to "waiting".)
3) If the vendor still cannot see any emails from
noreply@tdabids.com, ask them to check with their ISP provider. Sometimes, their ISP will block e-mails sent from certain servers if it thinks that emails are spam.

There could be several reasons:
1) Check to see that you are either the
Project Manager or the
Project Owner for that specific project. Only
Project Owners and
Project Managers assigned to a specific project will receive emails related to that project.
2) Check with your ISP provider. Sometimes, ISPs will block emails from certain sites if it they think that the emails are spam.
3) If you have received email notifications from TDABids before, but are no longer receiving any, of if they are intermittent, contact the TDABids support center.

Yes you can. To send out a bid request to several vendors simultaneously follow the steps outlined here:
Selecting vendors for the task (Skip this if you've already assigned vendors to the task)1) Access the project. You will see the
Project Info page.
2) Click on
Tasks, just below the project name.
3) Click on the language tab (for example, to Czech).
4) Click on
Translators Database in the left menu.
5) Fill in your search details if you are looking for a particular translator – otherwise, just click the
“Search” button to list all vendors who match the language pair.
6) Click on
“Search”.
7) Select the vendor you want by clicking on the
“Add” button on the right. Repeat this to select more vendors.
Sending out bid requests to multiple vendors simultaneously:8) Click on
Assignments in the left menu.
9) Check/tick the boxes on the left, next to
Manage for each vendor. The
‘Request Selected Vendors’ link will appear towards the bottom of the table.
10) Click on
‘Request Selected Vendors’. You will see a
‘Create Mass Bid Request’ form.
11) Fill out the form and paste your TM Read-out if you have one.
If you want the vendors to place their own bids:12) Click on
“Send New Bid Request”. (Vendors can choose to enter a fixed amount (Simple mode), a detailed quote with their rates and word matches based on the TM Read-out that you provided (TM Discount Mode) or a custom quote if the project requires additional work such as DTP, formatting, extra language, etc. )
Otherwise, if you wish to enter an amount or price for the project task:
13) Select the type of quote (see topic
Types of Quotes - Simple, Custom, TM Discount and TM Discount prefilled)
14) Select the currency (can be left blank)
15) Enter the price.
16) Enter any
Request Notes if any.
17) Click on

Yes. However, if the message is related to a project that you are working on, it is highly recommended that you send it through TDABids.com. All correspondence sent through TDABids.com is stored in the system, leaving an irrefutable “paper trail” to ensure optimal communication between Vendors and the LSD.

If you have confirmed that your browser supports TDABids.com, follow the steps below:
1) Exit the project by clicking on one of the main tabs at the top (
My Account,
My Projects,
My Profile)
2) Access your project.
3) Click on
Project Files.
4) Click on the folder where your file is stored (
Originals, Support, Processed, Updates, LSD Workflow etc).
5) Click on the filename. A pop up window should appear asking where you wish to save the file.
6) Select the destination where you wish to save the file and click on
“Ok”.

The
‘Upload/Add files to current folder’ icon is not always visible. It only appears when you are in the correct folder.
Folders which you may upload to:
• Originals
• Support
• Updates (only once a project is completed)
Once you are in the correct folder, the upload icon will appear at the top, in the first row of the table (same row as Quick Jump). It is depicted by a white page with a green ‘+’ over it.
Remember: The
Processed folder is meant for vendors to upload their completed files hence you can only copy, move, delete or download files from this folder. You cannot upload, copy, move, files to the
Processed folder. Similarly, the
LSD Workflow folder is for the LSD.

If your browser supports TDABids.com, follow the steps below:
1) Exit the project by clicking on one of the main tabs at the top (
Overview, Projects, Vendors or Settings)
2) Access your project again.
3) Click on
Files.
4) Click on the appropriate folder (
Originals, Support or
Updates).
5) Click on the
‘Upload/Add files to folder’ icon (in the first row of the table - same row as Quick jump). The ‘Upload/Add files to folder’ icon is depicted by a white
page with a green ‘+’ over it.
6) Click on the
“Select” button to select your file. A pop up window will appear.
7) Locate your file and click on
“Open”. The filename should appear next to the
"Select" button.
8) Click on the
“Upload” button below. Once the files have been successfully loaded, a green pop up window will appear at the top left of your screen saying
"Success! File has been uploaded."

Each file in TDABids has a "
more" list on the far right. The “
more” list consists of the following functions:
• Open File
• Download
• Info
• Copy
• Move
• Rename
• Delete
To copy a file select
Copy from the “
more” list; a pop up window will appear. Choose the destination to which you wish to copy it to and then click on "
Copy".
To copy more than one file check the box next to the file name in the left column. Click on the
Copy Icon (first row in table) at the top and then select the destination to which you wish to copy the files to. The
Copy Icon is depicted by 2 white pages.
How do I delete a file?
To delete a file select
Delete from the “
more” list. To delete several files check the boxes next to the file names and then click on the
Delete Icon at the top (first row in table).

If your project contains one or more language tasks, you will first need to access the appropriate language folder to view the translated files.
Each language folder is divided into the type of task (E.g. translation, proofreading, etc) so you will need to select the appropriate task folder and continue clicking until you access the vendor’s folder. You will be able to see the vendor's files here.
If you still cannot view the files in the vendor’s folder, contact the vendor to make sure that he/she has uploaded the file(s) correctly.
If neither you nor the vendor can resolve the problem, contact your TDABids.com support center.

Once a vendor/LSD uploads the completed files to their folders in TDABids.com, they will need to click on the
"Complete Project" button. This alerts TDABids.com that the files have been uploaded and you will then receive a notification email from the
noreply@tdabids with the subject

Your ISP may be experiencing problems, affecting the Internet connection. Depending on your ISP the upload speed may be slower than the download speed.

I uploaded a file but the vendor/LSD cannot see it. What is wrong?
Check to see that you have uploaded the files to the correct project and to the correct folder.
You may also have some projects with the same name but which are differentiated by their task type, request type or ID number. For example,

If you are certain that you have uploaded the files to the correct project and folder, and you can see those files in the folder, ask the vendor/LSD to check their folders again. Otherwise, contact the TDABids.com support center via e-mail or telephone.

Contact the vendor/LSD immediately and ask them to correct the mistake. If the mistake is strictly the result of the vendor/LSD, then that vendor or LSD is obliged to correct it.
