1.1 Using an invitation code (Primary Administrative Account)

You will need an invitation code to register your company/department as an authorized buyer. Your invitation code will be sent to you via email from the TDABids administration or your LSD (Language Service Department). The invitation code is assigned to a buyer’s administrative account. The administrator—after completing the registration process—will be able to create multiple user accounts and additional admin accounts.
If you do not have an invitation code, please complete our contact form and someone from our sales department will be in touch with you in brief.

1.4 Registering: step-by-step (Primary Administrative Account)

Important! Registration is by invitation only. The registration process will need to be completed ONLY ONCE for each primary administrative account. Once the initial account is created, the account holder (Admin) can create multiple user accounts as well as additional Admin user accounts from within the account settings, entering the individual’s name, email address, telephone number, time zone and creating a password for the user account.

Step 1:

Important! The e-mail address you enter will be your username. It will also be the address where you will be sent all correspondence and notifications related to TDABids’ jobs and projects.

Important! We recommend that you choose a password with at least eight characters. Creating an alphanumeric combination (including letters, numbers, upper-and-lower-case, etc) is advisable.

Step 4:

7) Use placeholders (click on ‘List of placeholders’ to see all available placeholders) to indicate to the TDABids.com system of where to place real/actual information. For example:

8.0 Managing a project – Working with Language Professionals

Depending on the user agreement maintained with a Buyer’s LSD, Buyers may be granted access to their LSD's Language Professional database allowing Buyers to contact Language Professionals directly to work on projects. Therefore, in addition to managing a project via an LSD, Buyers can manage a project acting as their own LSD and maintaining complete control over the project. In this way, the Buyer can eliminate LSD costs and manage a project from start to completion more efficiently.

8.1 Adding a Language Professional to the task / Sending a bid request to a Language Professional

Once you have created your project (6.0 Creating a new project) and would like to manage it yourself, you would need to send a request to the Language Professional(s) to see if they are available and willing to work on the project. The request may contain your quote for the project based on the Language Professional’s rates or it can be left for Language Professionals to place their own bids.

However, before you can send a request, you will need to add the Language Professional(s) to the task. To do this:

1) Access your project (skip this step if you are already on your Project Info page).
2) Click on the “Request quotes from Language Professionals” button. A Redirection window will appear with the message “Redirecting – By pressing “OK” you will be redirected to
the tasks page.”
3) Click on “OK”. You will be redirected to the Tasks page where you will see an overview of the project's tasks (target languages you added during the creation
phase).
4) Click on the language tab (e.g. to Czech). Each language tab lists all the tasks associated with it (e.g. translation, proofreading, other).
5) Click on Translator Database in the left menu. You will see a Search for Language Professionals form.
6) Fill in your search criteria if you are looking for a particular translator – otherwise, just click the “Search” button to list all Language Professionals who match the language pair.
7) Click on “Search”.
8) Select the Language Professional you want by clicking on the “Add” button on the right. Repeat this to select more Language Professionals. A message will appear briefly at the top left of your
screen, informing you that you have successfully added the translator to the task.
9) Click on Assignments in the left menu. You will see a table of Language Professionals that you added to the task.
10) Click on Manage, next to the Language Professional’s name. You will see a Create Bid Request form. From this point on, you will be creating a Bid Request to send out to the
Language Professional(s).

Note: This topic is continued in 8.2 Creating a bid request.

8.2 Creating a bid request

Note: This topic is continued from 8.1 Adding a Language Professional to the task / Sending a bid request to a Language Professional.

As mentioned in the previous topic, a bid request may contain your quote for the project based on the Language Professional’s rates, or if it is a project for which the buyer would like to invite Language Professionals to bid, the buyer can leave the quote blank for Language Professionals to complete with their bid.

11) Delivery Due Date - enter the delivery due date for the project by clicking on the calendar and clock icons. For the time, enter your own timezone. TDABids.com will
convert this automatically to the Language Professional's time zone.
12) Return Format – select ‘Original’ if you want the project to be returned in the original format. If you want the project delivered in a different format, select ‘Custom,
please specify’ and then fill in the desired format.
13) Use CAT - select this if you want the Language Professional to use CAT tools.
14) TM Read-out – copy and paste your TM Read-out here, if you have one.
15) Quote – select the type of quote you wish to send to the Language Professional. Alternatively, you can leave this blank and skip to the next step. You can choose from:
1) Simple mode – simply select a currency and enter a price for the project task. This is what you are offering to pay the Language Professional.
2) Custom mode – a more detailed version of the simple quote.
3) TM Discounts mode – a quote based on the TM Read-out. You will have to fill out the rate per word yourself. Don’t forget to select a currency.
4) TM Discounts (prefilled) – a quote based on the TM Read-out and the Language Professional’s rate per word. The Language Professional’s rates and currency to be paid in appear automatically in the form.
See topic Types of Quotes- Simple, Custom, TM Discount and TM Discount prefilled’ for more information.

16) Enter any request notes if any.
17) Enter the bidding deadline by clicking on the clock and calendar icons. The bidding deadline is the time given to Language Professionals to respond to your request.
18) Click on the “Send new bid request” button. A message will appear briefly at the top left of your screen informing you that the request has been sent.

As Language Professionals respond to your request, you will be notified via email from ‘Translatus/TDABids’ with the subject “Language Professional has responded to the bid request”.

8.5 Types of Quotes

The quoting system in TDABids.com is designed to be as flexible as possible, allowing buyers and Language Professionals to negotiate prices and amend projects (as needed).

A quote is broken down into different sections which form a ‘bid request’ emailed to the Language Professional(s). The Language Professional(s) can decide to approve or amend the one or more of the sections of the quote and accept or decline it. You will be able to view whatever changes the Language Professional(s) propose in your Assignments matrix.

If you do not wish to send a quote and simply require the Language Professional to bid on a project, just click on the "Send new bid request" button without filling any of the quote details—this is called the ‘Blank Quote’ bid request further explained in 7.5.5.

The five types of quotes you can specify when creating a bid request are: Simple, Custom, TM Discount, TM Discount prefilled and Blank Quote.

8.5.1 Types of Quotes: Simple

You enter the currency and amount of the quote without additional detail.

1) Select the desired currency (this could be what you intend to pay the Language Professionals in, or what the Language Professional wants).
2) Enter the amount/price.
3) Enter your Request Notes if any.
4) Bidding Deadline - select the bidding deadline by clicking on the calendar and clock icon.
5) Click on “Send New Bid Request”.

8.5.2 Types of Quotes: Custom

The Custom quote mode is a more flexible option to accommodate specific pricing for projects such as interpreting jobs, hourly rates, desktop publishing, additional fees or discounts, or other unique circumstances. It allows you to input your breakdown of how a project should be priced. (You can enter a per word or hourly rate, for example, Unit: Hours, Rate: 35.00, Quantity: 8.)

1) Select the desired currency.
2) Enter the:
• Item description – e.g. Unmatched words/200 A4 pages to be translated etc.
• Unit Name – e.g. word/page/hour/month/week etc
• Rate – e.g. 0.12 (specify the unit cost here)
• Quantity – e.g. 1060 (specify the amount/time etc. This will be multiplied by the rate to give you the total cost).
3) Click on “Add Quote Item”. Repeat steps 1 to 3 if necessary to add more items.
4) Enter your Request Notes if any.
5) Bidding Deadline - select the bidding deadline by clicking on the calendar and clock icon.
6) Click on “Send New Bid Request”.

8.5.3 Types of Quotes: TM Discounts

This allows you to send a quote based on your TM Read-out and any of its matches. However, you may have to fill out the rates per word for one of the following reasons:
• The Language Professional has not updated his/her rates in TDABids.com and therefore you have to enter them yourself
• You do not wish to use the Language Professional’s rates

How to fill out the TM Read-out form:

The TM Readout form is divided into 3 columns, namely Words, Rate and Total.

1) Total – enter the total number of words based on your TM Read-out in the Words column.
2) Unmatched – enter the normal rate per word in the Rate column.
3) 100% matches – enter the combined total of repetitions and 100% matches from your TM Read-out in the Words column, and the rate for 100% matches in the
Rate column. Do the same for the other matches. The price for each match is calculated automatically for you.
4) Request notes - fill in any request notes to the Language Professional if any.
5) Bidding Deadline - select the bidding deadline by clicking on the calendar and clock icon.
6) Click on the “Send new bid request” button.

For more information about TM Readouts, visit http://www.translationzone.com/en/products/translation-memory/

8.5.4 Types of Quotes: TM Discounts (Pre-filled)

This allows you to send a quote based on your TM Read-out and the Language Professional’s rates. If the Language Professional has filled out his/her rates in their profile, these rates will appear automatically in the TM Read-out form.

1) Total – enter the total number of words based on your TM Read-out in the Words column.
2) Unmatched – enter the normal rate per word in the Rate column.
3) 100% matches – enter the combined total of repetitions and 100% matches from your TM Read-out in the Words column. Do the same for the other matches. The
price for each match is calculated automatically for you.
4) Request notes - fill in any request notes to the Language Professional if any.
5) Bidding Deadline - select the bidding deadline by clicking on the calendar and clock icon.
6) Click on the “Send new bid request” button.

8.5.5 Types of Quotes: Blank Quote

The fifth type of quote you may specify is the 'Blank' Quote mode briefly discussed in the introduction for Section 7.5.

You do not have to condition the type of quote in a bid request to a Language Professional. You can leave it entirely up to the Language Professional to decide what price they will quote you for the specific project hence the ‘Blank Quote’.

Every single detail of the project can be changed by either side, i.e. the Buyer and the Language Professional until both sides come to an agreement and a purchase order is issued. Once a purchase order is issued by you to the Language Professional, any changes to the project details can only be done via amendments –link to amendments section.

8.12.1 The Assignments table

The Assignments table is a color coded table which appears for every Language Professional that you have assigned to the project. It lists the project's details where each of these details can be edited before a P.O. is sent to the Language Professional.

The Assignments table is also available to the Language Professional and is used to negotiate bidding/prices between you and the Language Professional. Any change that either you or the Language Professional make to the Assignments table is reflected on the other side. Both sides can instantly view the table and its project details, add comments, edit or accept any changes that the other might have made.

8.12.2 Attributes of the Assignment table:

8.12.2.1 Color coded:

• Green - both sides have approved that specific project detail.
• Yellow – one side has made a change to the project detail and it now needs approval from the other party.
• Pink – one or both sides have not agreed to the change of a project detail.

8.12.2.2 Approval column:

The first column of the table is further subdivided into 2 columns of either ‘ticks’ or ‘check boxes’. The first sub-column reflects the Language Professional’s status and the second sub column reflects yours.

A tick shows that either you or the Language Professional, or the both of you have approved a project detail.
An empty check box shows that one or neither of you have not approved a project detail.

To approve or disapprove a project detail, check or uncheck the box in your column. When both sides agree to a project detail, that row in the table will appear in green.

8.12.2.3 Project details:

The following project details will appear in the second column of the 'Assignments table'.

Delivery date – when the Language Professional should deliver the project.
Return format – in what format the Language Professional should deliver the project.
CAT tools – if the Language Professional is required to use CAT tools or not.
TM Read-out – lists the TM Read-out if any. Click on the read more link to view the TM Read-out.
Quote – lists the quote. Click on the read more link to view the quote.
Request notes – lists any notes you may have added for the Language Professional.

8.12.2.4 Edit and History Option

9.6 Negotiating over bids – Using the Assignments table

TDABids.com allows buyers to negotiate bids with the Language Professional easily. Both the buyer and the Language Professional, who is assigned to the task in a project, have access to the Assignments table. The Assignments table allows you to enter all your changes to a project's details including the price, which is then reflected in the other party's table. In this way, both the buyer and the Language Professional can communicate back and forth over price and other details until an agreement is reached.

Remember: Once an agreement has been reached and a P.O. is issued to the Language Professional, you will no longer be able to negotiate the price. Any other changes made to the quote must be done in the form of quote amendments.

11.0 Working with project files

TDABids.com has an effective filing system that organizes files, minimizing the possibility of confusion, particularly in large projects. It also has a ‘file-lock’ feature to assign 'read-only' access and prevent others from corrupting or removing files accidentally.

TDABids.com organizes your files into folders:

Originals –upload original files here for the LSD/Language Professional to view and download. This folder is locked to prevent the LSD/Language Professional from accidentally deleting the files.
Support –upload any reference material here for the LSD/Language Professional to view and download. This folder is not locked.
Processed – the LSD/Language Professional will deliver their completed files here. The Processed folder is further divided into languages and each language folder will contain its
respective task.

For example: The Processed folder contains the language folder called English which contains 3 more folders called Translation, Proofreading and Other. The Translation folder contains the Language Professional’s folder which contains the completed files! The same applies to the Proofreading and Other folders.

Updates - this serves as an ‘annex’ folder. Once a project has been completed, you will no longer be able to upload files to the Originals, Support or Processed
folder. In the case that the translated/proofread files need further work, files can be uploaded and accessed from the Updates folder.
