3) Edit your contact info (title, first name, last name, time zone); if you are a group manager, check the address.
4) Enter your new e-mail address. section will bring up a new menu on the left of your screen.
3) To change your account information e.g. address, account name etc, click on the post code and country.
4) Edit your account information and click on • Billing address – if your billing address is different from the company address, uncheck the ‘Billing address is the same as company’ address box.
• Create new cells and add it anywhere in your price list (in your current workspace)

Deleting a row from the price list
23) Click on the row that you want to delete from the price list. The row to be deleted will then be highlighted to differentiate it from the others.
24) Click on Delete Selected at the top. A pop up window will appear confirming if you wish to delete the selected item.
25) Click “OK”. A message will appear briefly at the top left of your screen confirming that the item was deleted successfully.

3.4 Currency Exchange rates
As a global platform, TDABids.com allows the LSD to enter as many currency exchange rates as needed to accommodate buyers and vendors working in the system. The LSD can set both the currency used by the Buyer and the exchange rate for the Buyer’s currency. For example, a buyer may prefer to pay in Chinese Yuan (Renminbi) while the LSD’s preferred currency is US Dollars. The LSD must enter a new exchange rate for Chinese Yuan to US Dollars. The LSD can then set the buyer's preferred currency to Chinese Yuan (Renminbi).
This saves the LSD from having to enter the currency rate each time it prepares a quote for the buyer because the buyer’s currency is already set and the exchange rate provided.
Currency exchange rates are also needed to determine project costs and generate reports. Ultimately, the LSD would like to see its project costs and sales reports converted to one currency.
Note that setting the currency exchange rate and changing/setting the buyer’s currency are two separate topics. To change/set the buyer's currency, see topic Setting a buyer’s currency.

3.4. a. Entering a new currency exchange rate:
1) Click on the Settings tab at the top.
2) Click on Currency Rates in the left menu.
3) Click on the Add New Conversion Rate link on the right. A pop-up window will appear listing the source currency, target currency and the exchange rate.
4) Select the source currency and target currency from the drop down lists.
5) Enter the exchange rate.
6) Click on “Add”. A message will appear briefly informing that you have successfully added the new exchange rate.

3.4.b. Deleting a currency exchange rate:
1) Click on the Settings tab at the top.
2) Click on Currency Rates in the left menu.
3) Click on the red “X” on the far right of the currency you wish to delete. A pop-up window will appear confirming if you wish to delete the currency exchange rate.
4) Click “OK”.
To delete more than one currency, tick the empty check boxes on the left and click on the Delete link at the top.

3.5.c. Editing the currency exchange rate:
1) Click on the Settings tab at the top.
2) Click on Currency Rates in the left menu.
3) Click on the ‘Edit/pencil’ icon on the far right of the currency you wish to edit. An edit window will appear under the Rate column.
4) Enter the new rate in the window.
5) Click on the green tick on the right to save the new rate.

3.5 Users
The LSD administrator will be able to create multiple user accounts. User accounts may be granted Admin privileges. Only users with administrative privileges will be able to edit other users’ details or create new user Accounts. Admin Users can add or delete users, edit their e-mail addresses, passwords, contact details and assign other accounts administrative privileges.
User accounts may act as “Account Managers” or “Project Managers” depending on the tasks they are assigned.
Users are referred to as Project Managers when they are assigned projects and are working directly with the vendor to request quotes, negotiate prices, follow up on the project’s completion, etc.
Users are referred to as Account Managers when they are assigned a buyer account to resolve any administrative issues related to the buyer account.

To access the Users settings,
1) Click on the Settings tab at the top. You will see your Contact Information page.

4.0 Managing Users (within your organization)
See Help Topic 3.5 Users for a complete description of the different user types.
4.1 Adding Users
Only users with Administrative privileges may create a new user or edit another user’s details, including their e-mail addresses and passwords.
To add a new user to TDABids.com,
1) Click on the Settings tab at the top. You will see your Contact Information page.
2) Click on Users in the left menu. You will then see a table of all the current users of TDABids.com with associated icons/functionality on the right. Each user will either
have an Admin or User role displayed next to their names.
3) Click on Create New User Profile at the bottom. In the pop up window, enter the following:
a. Title – this is optional.
b. First Name – enter the user’s first name
c. Last Name – enter the user’s last name
d. Phone – enter the user’s phone number
e. E-mail – enter the user’s correct e-mail address
f. Time Zone – select the user’s correct time zone from the dropdown list.
g. Is Administrator – leave this box unchecked if you don’t want the user to have administrative privileges.
h. Password – create the user’s password and write it down somewhere for safekeeping.
i. Confirm Password – enter the user’s password
4) Click on “Create”. A message will appear briefly informing you that the new user has been created.

4.2 Adding/Removing a User’s Administrative privileges
If you are creating a new user with the intention of granting administrative privileges, see topic 4.1 Adding Users and check/tick the Is Administrator box at step 3) g).
If a user already exists and you wish to add or remove their administrative privileges,
1) Click on the Settings tab at the top. You will see your Contact Information page.
2) Click on Users in the left menu. You will then see a table of all the current users of TDABids.com with associated icons/functionality on the right. Each user will either
have an Admin or User role displayed next to their names.
3) Click on the Edit/pencil icon next to the user’s name that you wish to add/remove privileges for. A new window will appear.
4) Check the Is Administrator box at the bottom if you wish the user to have administrative privileges; otherwise uncheck it.
5) Click on “Update” to save the changes.

4.3 Removing Users
You may remove any user you choose. Please note: if the user you wish to delete is managing a project, you will be asked to reassign the project to another project manager. If the user is also an account manager and or a project owner, these responsibilities will be reassigned to the same user designated to take over as the new project manager.
Note: you can only reassign a user’s status (project owner, project manager, account manager) to one person when removing the user from the system. You can later change the account manager and/or project owner status to someone else.
To remove a user from the system,
1) Click on the Settings tab at the top.
2) Click on Users in the left menu. You will then see a table of all the current users of TDABids.com with associated icons/functionality on the right.
3) Click on the red ‘X’ on the far right. A Delete User window will appear.
4) Assign the user's projects to another manager by selecting one from the drop down list.
5) Click "OK”. A message will appear briefly on the top left informing you that the user has been removed.
Recommendation: before removing a user completely from the system, we suggest you change the account password for a short period to ensure the new project manager is given sufficient notice to take on the reassigned projects

4.4 Changing User details
A user's details consist of the following:
• Contact details (including first name, last name, phone, time zone and administrative privileges) - represented by the ‘Edit/pencil’ icon.
• Password – represented by the ‘key’ icon.
• E-mail address – represented by an ‘envelope’ icon.
To change a user’s details:
1) Click on the Settings tab at the top.
2) Click on Users in the left menu. You will then see a list of all the current users of TDABids.com.
3) Click on the appropriate icon on the right to change the contact, password or e-mail address detail.
4) Click the “Update” button to save this new information.

4.5 Viewing Users
To view how many users are authorized to manage projects in TDABids.com,
1) Click on the Settings tab at the top.
2) Click on Users in the left menu. You will then see a table of all the current users of TDABids.com with associated icons/functionality on the right.
3) Click the arrow keys below the table to navigate through the pages. You can also change your page settings to list how many users you want displayed on a page
by clicking the “Change” button.

5.0 Managing Buyers
Buyers are the LSD’s clients; individuals, companies, departments that may request quotes and submit language service projects to be managed.
All buyers will be assigned an LSD. Every buyer will be assigned an account manager from the LSD and may also be assigned a project manager if the buyer chooses. An LSD can decide what level of access to grant each buyer invited to join TDABids.com under its LSD account.
Within TDABids.com, an LSD can associate certain buyers to create a group. This is particularly useful for LSDs with a large number of buyers throughout an organization. An LSD may choose to group buyers by department, geographical location or affiliate.

5.1 Creating a new Buyer account
To create a new Buyer account in TDABids.com:
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on New Translation Buyer Account below the Buyers tab. The New Customer page is divided into four sections: Buyer Account
Information, Company Information, Account Creation Options and LSD-related Options.
3) Buyer Account Information
• Title – this is optional.
• First Name – enter Buyer representative’s first name
• Last Name – enter Buyer representative’s last name
• E-mail – enter the Buyer’s e-mail address
• Phone – enter the Buyer’s phone number
• Time zone – select the Buyer's correct time zone from the drop down list
• Password – enter a password for the Buyer (note it down in a safe place)
• Confirm password – enter the password again
4) Company Information
• Company Name – enter the Buyer's company name
• Tax ID/VAT number – enter the Buyer’s Tax ID or Vat number
• Address – enter the Buyer’s address. This will also become the billing address.
• City – enter the city
• Postcode – enter the postcode
• Country - select the country from the drop down list
5) Account Creation Options
• Account is approved – check this box if the Buyer account has been approved. An approved account authorizes the LSD to begin working on projects for the Buyer immediately (if and when projects appear)
• Vendor Access – this determines what kind of access your Buyer should have to your vendor database (whether to allow Buyers to contact vendors directly)
1. View all translators – check this option if you want the Buyer to contact all your vendors
2. View only recommended – check this option if you want the Buyer to contact vendors that you recommend
3. View none – check this option if the Buyer should not have access to vendors at all.
• Account Manager – select the manager who will handle this Buyer account from the drop down list. . The Account manager is the LSD contact person for the buyer.
• Invoice Currency – select the currency you and the Buyer have agreed to work with.
• Discount Description – enter the discount percentage rate you will offer the Buyer for 100% matches
• Discount Description - enter the discount percentage rate you will offer the Buyer for 95-99% matches
• Discount Description - enter the discount percentage rate you will offer the Buyer for 85-94% matches
• Internal ID – this is optional and used to identify the Buyer with something else other than the TDABids.com automated identifier (usually a number assigned to a Buyer).
6) Click on “Create Account”. A message will appear briefly at the top left of your screen informing you that the account has been created successfully.

5.2 Inviting Buyers to join TDABids.com
If you wish to invite a Buyer to register with TDABids.com, you will need to e-mail the Buyer an invitation code with a link to the TDABids.com registration page. The Buyer will then complete the registration process online.
Users invited by an LSD to join TDABids.com will be assigned a Primary Administrative Account with full privileges. This means the Buyer will be able to create and upload projects, request quotes from the LSD, create new users, submit projects to be processed by the LSD, amend/approve quotes, communicate with the LSD, manage its account settings, etc.
However, in order for the buyer to be able to contact vendors directly and view the vendor database, the buyer must be authorized by the LSD. The LSD can choose to authorize the Buyer, granting the account access to the database, when it creates a new customer account and invites the Buyer to register.
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Invitations, below the Projects tab.
3) You may create your own invitation code or ask TDABids.com to generate one for you automatically by clicking on the link I give up! Generate code link’.
Note: Invitation codes must be 10 alphanumeric characters with no spaces.
4) Click on “Create Invitation”. You will see the following message: ‘Congratulations! New invitation code has been generated.’
5) Copy and paste the invitation code into the e-mail which you will send to the Buyer.

5.3 View invitations sent to Buyers
To view how many invitations you have sent out and how many have been accepted and used by Buyer, click on Sent Invitations in the left menu under the Buyers tab.

5.4 Create a new Buyer user-group
You must be a group manager if you wish to create a new group of Buyers.
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Group Management below the Vendors tab. You will see two boxes/sections: Create New Group and Add New Group Members.
3) Enter the new group name under the Create New Group box (make sure that the Add New Group Members box is not selected to any group).
3) Click on the green tick to create it. A message will appear briefly informing you that a new customer group was created. The newly created group will appear in the
table below.
Note: only users with administrative privileges may become group managers.

5.5 Adding a Buyer to a group
If you wish to add a Buyer to an existing group, you must be a group manager.
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Group Management below the Vendors tab. You will see two boxes/sections, Create New Group and Add New Group Members.
3) Under Add New Group Members, select the group you wish to add the Buyer to. A new drop down list will appear, prompting you to select the account.
4) Select the account or Buyer that you wish to add to the above group.
5) Click on the green tick to confirm it. A message will appear briefly informing you that the account was added to the group successfully.
Note: only users with administrative privileges may become group managers.

5.6 Removing an account (Buyer) from a group
To remove an account from a particular group, you must be a group manager.
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Group Management below the Vendors tab. You will see a table at the bottom, listing all the existing groups.
3) Click on the ‘arrow’ symbol next to the group’s name you wish to edit. The group will expand to list all its members or associated accounts.
4) Click on Remove next to the account name you wish to delete. A message will appear confirming if you wish to remove the group member, reminding you that
managers associated with it will no longer have a Group Manager status.
5) Click on "Yes. Remove it." A message will appear briefly informing you that the member was removed successfully.

5.7 Removing a group
Removing a group will not delete any of the individual accounts that are associated with it. What will change is that these accounts will no longer belong to a group but rather, exist as individual Buyer accounts in TDABids.com.
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Group Management below the Vendors tab. You will see a table at the bottom, listing all the existing groups.
3) Click on Delete Group. A message will appear confirming if you wish to delete the group, reminding you that managers associated with it will no longer have a
Group Manager status.
4) Click on “Yes. Delete it.” A message will appear briefly informing you that the group was removed successfully.

5.8 Changing a group name
To change a group’s name,
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on Group Management below the Vendors tab. You will see a table at the bottom, listing all the existing groups.
3) Click on Edit at the far right of the group name you wish to change.
4) Enter the new name in the Group Name field.
5) Click on the green tick to save the changes.

5.10 Maintaining Buyer Information (profile, billing etc)¶
It is important to ensure that your Buyer information is up to date at all times so that LSD managers and TDABids.com can contact the Buyer whenever necessary and ensure that billing is sent on time.
A Buyer’s profile consists of the following:
• Internal ID
• Tax ID/VAT Number:
• Current LSD
• Account Name
• Address
• City
• Post code
• Country
• Group Name
• Account Manager
• Vendor Access
o View All Translators
o View Only Recommended
o View None
• Invoice Currency
• Billing Address
• Billing Info
• Billing Option
To edit or update any of these details,
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on the Buyer name that you wish to change. The Buyer Account Information page will appear.
3) Click on “Edit” at the bottom.
4) Enter your changes and click on “Apply Changes”.

5.11 Giving Buyers access to vendors
Once a Buyer has access to the vendors’ database, the Buyer will be able to contact vendors directly for projects. Buyerers will be able to work with vendors directly in a manner similar to how LSDs work with vendors.
Once it has been decided that a Buyer will have access to the vendors’ database, the LSD can update the Buyer’s profile to provide them with access
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on the Buyer name that you wish to change. The Buyer Account Information page will appear.
3) Click on “Edit” at the bottom.
4) Scroll to Vendor Access and select View All Translators. This will allow the Buyer to view all your translators. (If you want the Buyer to view only those translators
recommended by you, select the View Only Recommended option instead. Select None if you don't want the buyer to have access to the vendor database).
5) Enter your changes and click on “Apply Changes”.

5.12 Changing a Buyer's access to the vendor database
1) Click on the Buyers tab at the top. You will see a list of all your Buyers.
2) Click on the Buyer name that you wish to change. The Buyer Account Information page will appear.
3) Click on “Edit” at the bottom.
4) Scroll to Vendor Access. You will see 3 options determining the type of access level a Buyer should have.
• View all translators – check this option if you want the buyer to have complete access to the vendor database.
• View recommended – check this option if you want the buyer to view only those vendors recommended by you (as the LSD)
• View none – check this option if you don’t want the buyer to have any access to the vendor database
5) Enter your changes and click on “Apply Changes”.
Note: In order for the buyer to be able to contact vendors directly and view the vendor database, the buyer must be authorized by the LSD. The LSD can choose to authorize the Buyer, granting the account access to the database, when it creates a new customer account and invites the Buyer to register.

5.13 Setting a buyer’s currency
You can set a buyer’s invoice currency at any time in TDABids.com.
To set the buyer’s currency,
1) Click on the Buyers tab at the top.
2) Select your Buyer by using the search criteria on the right or just click on the “Search” button to provide you with the entire list of Buyers. You should see the
Buyer Account Information page, otherwise click on Account & Contact Info in the left menu.
3) Click on the "Edit" button at the bottom.
4) Scroll to Invoice Currency and select the Buyer's preferred currency from the dropdown list.
5) Click on “Apply Changes”.
Don't forget to add the exchange rate under your Settings.

5.14 Editing a buyer's TM discount rates
If you did not set a buyer's TM discount rates when initially creating the buyer's account, you can set or edit them at any time in TDABids.com.
To edit the buyer’s TM discount rates,
1) Click on the Buyers tab at the top.
2) Enter your Buyer’s ID or name in the search fields provided on the right and click “Search”; alternatively, just click on the “Search” button and select your Buyer
from the list.
3) Click on the Buyer’s name. You should see the Translation Memory Readouts page for that Buyer. Otherwise, click on TM Discounts in the left menu.
4) Click on the “Edit” button. A window will appear showing both matches (e.g. 100% matches) and discount rates (e.g. 25%)
5) Enter your matches and rates and click on the “Update Discounts” button to save this information.
For example:

6.0 Managing Vendors
LSD accounts will have access to the 2,000 vendors in the TDABids.com database. LSD account users can also invite their own vendors to join TDABids.com (at no charge) to work on projects.
6.1 Inviting vendors to join TDABids.com
There are two ways in which you can invite vendors to register with TDABids.com:
1) Issuing vendors a normal invitation to register themselves with TDABids.com
2) Issuing an invitation to the vendor to immediately work on a specific project in TDABids.com
Either way, the vendor will have to go through the registration process before he/she is able to receive project requests from the LSD.

6.1.a Inviting vendors to register with TDABids.com
Should you simply wish to invite a vendor to register with TDABids.com so that you may assign projects to them in the future, you can send them an invitation from within the Vendors page.
1) Click on the Vendors tab at the top to access the Vendors page.
2) Click on Invitations below the Vendors and Projects tab.
3) Fill in the translator details:
| Translator First Name | enter the translator’s first name |
| Translator E-mail | enter the translator’s correct e-mail address |
| Add notes for recipient | click this link to enter any notes for the translator |
| New Invitation code is: ……Generate Code! | enter your code or click on Generate Code! to create a new code |
4) Click on “Create” to send the invitation to the translator.

6.1.b Inviting vendors to work on a project immediately
If you are in the middle of assigning vendors to a project and cannot find a particular vendor in the database or want to assign the project to a new vendor, you can send out an invitation to a specific vendor to work on the project. The vendor will receive an invitation e-mail from noreply@tdabids and will have to complete the free registration process. Once the vendor’s registration is complete, the vendor can log in to TDABids.com and view details of the project.
To invite a vendor to work on a project, you will need to access your project and open the Tasks page.
1) Click on the Projects tab at the top.
2) Click on the project name. Your Project Info page will appear, listing your Workflow (in the left menu) by default.
3) Click on Tasks just below the project name.
4) Click on the appropriate language tab (e.g. to Korean)
5) Click on Translators Database in the left menu. 2 tabs will appear above the search form on the far right - Search and Invite tab.
6) Click on the Invite tab.
7) Enter the vendor's name and e-mail address in the required fields.
8) Click on Check Availability to see if the vendor does not already exist in the database.
9) Make sure that the Add to task box is checked / ticked.
10) Click on “Ok”. A green pop up window will appear briefly with the words, "Success. You have successfully added translator to the task”. The vendor should
receive an e-mail from noreply@tdabids with the subject “You have received an invitation to TDABids”. The vendor will have to click on the link provided in the e-mail to direct him/her to the TDABids registration page.
11) You can check to see that the vendor has been added to the task by clicking on Assignments in the left menu. You should see the vendor’s name with the word
‘invited’ next to it. The vendor’s status will also be set to New.
Note: You can invite vendors to work on a project by sending them bid requests before a quote has been approved by the Buyer. However, you cannot send a P.O. to vendors until after a quote has been approved by the Buyer.

6.2 Looking for vendors
You can search for vendors in 2 ways:
• Performing a general search on the Vendors page with the options of listing various criteria.
• Locating a vendor for a project task.

6.2.a Looking for vendors - A general search
1) Click on the Vendors tab at the top. You should see a table of vendors as well as a search form on the right. The search form is divided into various criteria:
• Keywords: - enter the vendor’s first name/last name/e-mail address/dial code or phone number etc.
• Location: - enter the vendor’s location.
• Experience in: - enter the vendor’s background e.g. IT, law, politics etc.
• Source language - enter the vendor’s source language
• Target language – enter the vendor’s target language
• Company – check this if the vendor is a company or agency
• Active – check this if you are only looking for active vendors
2) Filling out one criterion is sufficient – for example, enter only the vendor's e-mail address in keywords or only select the country where a vendor lives. The search
will return the vendor with the matching e-mail address or a list of all the vendors who live in a particular country. For more specific searches, you can fill out all or more criteria.
3) Click on “Search” to return the results.

6.2.b Looking for vendors – Locating a vendor for a project task:
Note: If you are already in the project and are assigning a vendor to a language task, skip steps 1-4 and begin with step 5.
1) Click on the Projects tab at the top.
2) Click on the project name. Your Project Info page will appear, listing your Workflow (in the left menu) by default.
3) Click on Tasks just below the project name.
4) Click on the appropriate language tab (e.g. to Korean)
5) Click on Translators Database in the left menu. You will see the Search for Vendors form listing the following:
• Language pair: - select the language pair from the drop down list. For a wider search, select “Any to …”
• Native Speaker: - check Yes if the vendor is a native speaker otherwise check No for a broader search.
• Key Words: - enter keywords if any, for example, e-mail address, last name etc.
• Location: - select the location from the dropdown list or leave it as (Doesn’t matter).
6) Click on “Search”. Results will be returned below the form.

6.4 Rating vendors and providing feedback¶
When you leave feedback on a vendor who has worked on projects for you, other users (Project Managers, Buyers, etc.) will be able to view the vendor’s profile and see how the vendor performed. This is particularly useful when a user has not worked with a particular vendor before and would like to view a professional reference before deciding to assign a project to the vendor.
You can rate a vendor after he/she has completed a project and his/her status has been set to Finished.
To rate a vendor:
1) Access your project.
2) Click on Tasks, just below the project name.
3) Click on the language tab (for example, to Italian). You will see the vendor assigned to the project for that task.
4) Check the vendor’s status. It should be set to ‘Finished’.
5) Click on Manage for that vendor.
6) Scroll down to the last section which reads Feedback for this assignment.
7) Check one of the rating options provided (Negative, Neutral, Positive).
8) Enter comments if any.
9) Click on the “Post feedback” button.

6.5 Checking a vendor’s rates (prices)
To check a vendor’s rates, simply click on the vendor’s name when it appears in your search or in your Assignments list.
From a general search:
1) Click on the Vendors tab at the top. You should see a table of all your vendors.
2) Click on the vendor’s name. You will see the Account & Contact Info page for that vendor.
3) Click on Prices & Capacity in the left menu. The vendor’s default rates will show up on the right. If the vendor has any custom rates for specific language pairs, these will show up on the left under Language pairs with custom rates. Click on the language pairs to view the custom rates.
From the Assignments list:
1) Access your project (Click on the Projects tab, click on the project name)
2) Click on Tasks just below the project name.
3) Click on the appropriate language tab (e.g. to Korean). You will see those vendors you assigned to the task.
4) Click on the vendor’s name. A pop up window will appear with the vendor's profile.
5) Click on the Rates tab. The vendor may have default rates for all his/her language pairs or specific rates for various language pairs.
6) Select the language pair from the dropdown list. The vendor’s rates for that language combination will appear.

6.6 Checking a vendor's account status
All of the language professionals in the database is assigned a vendor’s status set to Activeor Inactive. When a vendor appears in a general search, but does not appear when you are trying to assign him/her to a project it is because the vendor’s status is ‘Inactive’.
When you do a general search, if you only want to see those vendors who are Active in the system check the Active box in the search options. You can only assign vendors to projects if their account status is Active.

7.0 Creating a new project for the Buyer
If your Buyer does not have access to the Vendor database or does not know how to create and upload a project in TDABids.com, you may have to create a project on behalf of the Buyer.
TDABids.com offers a ‘back door’ system which allows LSD users to log in as the Buyer to create projects and administer Buyer functions such as sending quote requests, approving quotes, making amendments, approving amendments, accessing files etc.
It is important to remember that once you are logged in on behalf of the Buyer, you are no longer in the LSD administrative interface and must remember to log out as the Buyer to return to LSD functions.

7.1 Logging in on behalf of the Buyer
To create a project for the Buyer in TDABids.com, you will need to log in as the Buyer.
1) Click on the Buyers tab at the top. A table of all your Buyers will appear. Each row will have Log In link on the far right.
2) Click on Log In on the same row corresponding to the specific Buyer. This will bring you to the Buyer’s Overview page and interface.

7.2 Uploading a new project on behalf of the Buyer
You will need to log in on behalf of the Buyer in order to create and upload a new project in TDABids.com.
1) Log in on behalf of the Buyer (see topic Logging in on behalf of the Buyer).
2) Click on the “New Project” button at the bottom or on the icon next to the Overview tab at the top.
3) On the New Project page, fill in the details. There are 5 parts to fill out:
Project Details:
• Project Name: - enter the name for the project
• Subject: - enter a subject if any (optional)
• Purchase Order Number: - enter the P.O. number (this can be entered at a later stage)
• Source Language: - Select the source language from the drop down list
• Tags: - enter any key words for the project, to allow easier searching of the project (optional)
• Due date: - enter the due date of the project (this can be left undefined)
Target Languages:
• Language – select the language the project should be translated into from the dropdown list.
• Country – select the country the language is intended for, from the dropdown list (optional)
• Click on “Add”.
Project Files:
• Click on the “Select" button to locate your file. A pop up window will appear.
• Select your file and click on “Open”. If the file is intended to be a support file, check the ‘Support File – not for translation’ box beneath the field.
• Click on "Add" to add more than one file.
• Click on the “Upload file(s)" button to upload the files. The files will appear on the left, in either the Originals and/or Support folders.
Notes for Translator:
If you have any notes for the translator, enter them here. All translators will see this.
Note: Do NOT enter sensitive/confidential information here!
My Notes:
These notes are intended for the actual Buyers for their own personal reference.
4) Click on the “Create Project” button at the bottom (if you are not going to continue with requesting a quote, do not forget to LOG OUT as the Buyer by clicking on
the TDABids logo – this will take you back to the LSD interface).

7.3 Requesting a quote from the LSD
This topic is continued from Uploading a new project on behalf of the Buyer.
Once you have created a project on behalf of the Buyer, you can then request a quote (as the Buyer) from the LSD or submit the project for immediate processing.
If you are continuing from Step 4 in the previous topic, after you click on the “Create Project” button, you will see several options on how to manage the project. Click on "Request a New Quote from LSD”.
If you are not continuing from the previous topic,
1) Log in as the Buyer (see topic Logging in on behalf of the Buyer).
2) Click on the Projects tab and select the Buyer’s project from the list by clicking on the project name. The Buyer's Project Info page will appear, listing the project
Workflow (in the left menu) by default.
3) Click on “Request a New Quote from LSD”. A message will appear confirming if you wish to request a new quote from the LSD.
4) Click "OK”.
5) LOG OUT as the Buyer by clicking on the TDABids log at the top left of your screen. This will take you back to the TDABids.com homepage.
6) Click on My Account at the top right to return to your LSD interface.
Alternatively, if the Buyer has requested for the LSD to start the project immediately, click on “Start by LSD”. See Submitting a project for immediate processing for further explanation.

7.4 Submitting a project for immediate processing
If the Buyer has an agreed price list with the LSD and is aware of the LSD's rates, there may be no need to request a quote from the LSD.
Depending on the type of project, the Buyer may request for the LSD to begin working on the project immediately. The LSD is not required to prepare the quote straight away and can concentrate on looking for vendors to work on the project.
To submit a project for immediate processing on behalf of the Buyer in TDABids.com,
1) Click on “Start by LSD” (If you are already logged in on behalf of the Buyer and are on the project Info page,)
Otherwise,
2) Click on the Projects tab and select the Buyer’s project from the list by clicking on the project name. The Buyer's Project Info page will appear, listing the project
Workflow (in the left menu) by default.
3) Click on “Start by LSD”. A message will appear confirming if you wish to start the project by LSD.
4) Click "OK”. A message will appear briefly informing you that the project has been started.

7.5 Uploading files and support material¶
Buyers can only upload files to the Originals folder during the project creation stage or before a quote has been requested from the LSD. This is to prevent any tempering with the files while a quote is being prepared. The LSD will only have access to view files in the Originals folder and will not be able to add or delete files.
Support materials, however, may be uploaded at any time by the Buyer or the LSD to the Support folder. The Originals, Support and Processed folder is visible to both the Buyer and the LSD. The LSD does not have to log in on behalf of the Buyer to upload support material (although it may choose to do so).
To upload files to the Support folder (note: you do not have to log in on behalf of the Buyer to do this)
1) Access the project (click on the Projects tab, select the project by clicking on the project name).
2) Click on Files. You will see five folders:
• Originals
• Support
• Processed
• Updates and
• LSD Workflow
3) Click on the Support folder. Two new icons will appear at the top of the table (same row as Quick jump) – ‘Create a new subfolder’ and ‘Upload/Add files to
current folder’.
4) Click on the ‘Upload/Add files to current folder’ icon which is depicted by a white page with a green ‘+’ over it.
5) Click on the “Select” button. A new window will
appear.
6) Select the file you wish to upload and click "Open". To add another file, click on Add input field and repeat steps 5 and 6.
7) Make sure that the destination folder is set to Support.
8) Click "Upload” to upload the files.

7.8 Logging out on behalf of the Buyer
When you are logged in on behalf of the Buyer, either to create a project, upload files, approve an amendment etc, it is important to log out once you have finished performing the Buyer's tasks.
To log out as the Buyer,
1) Click on the TDABids log at the top left of your screen. This will take you back to the TDABids.com homepage.
2) Click on My Account at the top right to return to your LSD interface.

When the LSD sends the quote off to the Buyer, the Buyer will receive an e-mail from noreply@tdabids with the subject "The quote request has been processed".
However, if your Buyer is not using TDABids.com and you, as the LSD, are acting on behalf of the Buyer, you will need to log in on behalf of the Buyer to accept the quote.
To approve the quote as the Buyer,
1) Click on the Buyers tab at the top. A table of all your Buyers will appear. Each row will have Log In link on the far right.
2) Click on Log In on the same row corresponding to the specific Buyer. This will bring you to the Buyer’s Overview page and interface.
3) Click on the Projects tab and select the Buyer’s project from the list by clicking on the project name. The quote should appear on the Buyer's Project Info page
(click on Workflow in the left menu if you can’t see it).
4) Click on "Approve the LSD Quote". A message will appear confirming if you wish to approve the quote.
5) Click “OK”. A message will appear briefly informing you that the quote has been approved.
6) LOG OUT as the Buyer by clicking on the TDABids log at the top left of your screen. This will take you back to the TDABids.com homepage.
7) Click on My Account at the top right to return to your LSD interface.

8.0 Receiving a quote request from the Buyer
8.1 Receiving a quote request/viewing project details
When a Buyer submits a quote request for a project, you will receive an e-mail from noreply@tdabids with the subject, TDABids: xx/xxx New quote request. To view the project details, click on the link provided in the e-mail or if you know the name of the project and/or its ID,
1) Log in to TDABids.com
2) Click on the Projects tab at the top. You should see a list of all the projects that you (the LSD) has received. If a quote has been requested from the Buyer, the
project status should be set to Bidding in progress.
3) Select the project by clicking on the project name. The Project Info page will appear, listing the project Workflow (in the left menu) by default.
4) Click on Project Details in the left menu. Project Details will list the following:
• Source Language: - the original language that needs to be translated
• Target Languages – languages that the original language needs to be translated into.
• Buyer Account Name: - the client
• Person Ordering: - the Buyer representative who is ordering the project. NOTE! If you have created the project on behalf of the Buyer, then this person should
ALWAYS be you otherwise, the Buyer and not you, will receive notifications and project updates from TDABids.com.
• Project Manager – you can assign a manager to the project at this point. Select a manager from the drop down list and click on the green tick to upload/save this information.
• Due Date – the date the project is due or expected by the Buyer.
• Date Created – the date the Buyer created the project.
• Date Completed: - will be blank until the project is completed.
• P.O. Number – the Buyer's P.O. number for the project. This can be added at a later stage.
• Project ID:
• Project Name:
• Subject:
• Notes for translators: - any notes intended for vendors are shown here and will be seen in all the POs sent out to them.

8.2 Receiving a project submitted for immediate processing
If Buyers already have an agreed price list with the LSD, they may submit projects to be processed immediately without any need for a quote to be provided immediately.
TDABids.com will notify you of a project to be processed immediately. The e-mail will be sent from Translatus/TDABids.com with the subject 'TDABids: xx/xxx Project name submitted for immediate processing".
The LSD can then go on to assign vendors to the project.

8.3 Assigning the project to a manager (under Project Details)
Once you have received a quote request and wish to prepare a quote for the Buyer, it is advisable to assign a manager to the project as the next step. The manager assigned to the project will then receive all corresponding project notifications from TDABids.com as well as e-mails from the Buyer.
To assign a manager to the project,
1) Click on the Projects tab at the top. You should see a list of all the projects that you (the LSD) has received.
2) Select the project by clicking on the project name. The Project Info page will appear, listing the project Workflow (in the left menu) by default.
3) Click on Project Details in the left menu.
4) On the Project Details page, click on the ‘Edit/pencil’ icon next to Project Manager and select a manger from the list.
5) Click on the green tick to assign the manager.

8.4 Preparing the quote for the Buyer
All the topics in this section are linked and show you how to create a quote.
A quote for the Buyer consists of six parts:
• TM Readout/word count – most LSDs use TM readouts to calculate their quotes
• Number of working days – an estimate of how long it will take to complete and deliver the project.
• Current Currency – this is usually pre-defined (you or the Buyer would have set the currency while creating the Buyer’s account) otherwise, you can select a
currency from the drop down list. To set a permanent currency, you will have to access the Buyer's Account & Contact Info and set it there.
• Auto items – this calculates the quote based on the TM Readout.
• Custom items – allows you to add other items not covered in the TM Readout such as handling fees, minimum fees, DTP fees etc. It can also stand as its own quote if you are not using a TM Readout.
• Price list – allows you to view the price list for the Buyer should you need to look at the various rates for different language pairs.

8.4.a Adding the TM Readout/ Word count
Although TM Readouts are not necessary to process and complete a project in TDABids.com, most LSDs use them to identify 100% (95-99%, 85-94% and 75-84%) matches and provide discounts based on these matches to the Buyer. It is up to the LSD to decide whether or not to provide various discounts based on these matches.
This section assumes that you have already generated a TM Readout and are ready to prepare the quote. If you are creating a custom quote and are not using a TM Readout, skip this section and see …
1) Access the project (Click on the Projects tab, select the project from the list). The Project Info page will appear, listing the project Workflow (in the left menu) by
default.
2) Click on Quotes (appears in the menu below the project name). You will see the Quote Details page.
3) Click on TM Readouts in the left menu.
4) Select the language pair from the drop down list.
5) Click on the “Edit” button to enter the TM Readout in the editing window.
6) Paste the TM Readout in the window.
7) Click on “Update”. Repeat steps 4 to 7 to paste TM Readouts for other language pairs, if any.
To continue preparing the quote, you can move on to the steps in topic 8.3.b Adding the number of Working Days and Current Currency.

8.4.b Adding the number of Working Days and Current Currency¶
The Current Currency is usually determined when a Buyer account is created and would normally appear in the quote by default. However, if a currency is not listed, you can select a currency from the drop down list.
The Number of Working days will need to be defined in the quote to inform the Buyer of when they can expect the project to be delivered.
(Make sure you are in the Quote section of your project (Click on the Projects tab, select your project from the list, click on Quote in the menu below the project name).)
1) Click on Quote Items in the left menu. The Quote Items page will appear.
2) Click on “Continue”. You will see the options to “Add Auto Items”, “Add Custom Items”, “View Prices”, and set the number of Working Days and Current
Currency.
3) # of Working Days - click on the ‘pencil/edit’ icon next to # of Working Days to set the number of days it will take to complete and deliver the project.
4) Enter the number of working days in the empty field.
5) Click on the green tick to upload this information.
6) Current Currency: if a currency is not defined, click on the ‘pencil/edit’ icon next to Current Currency and select a currency from the drop down list.
7) Click on the green tick to upload this information.

8.4.c Adding Auto Items (creating a quote based on a TM Readout)
(Make sure you are in the Quote Items section of your project (Click on the Projects tab, select your project from the list, click on Quote in the menu below the project name, click on Quote Items in the left menu).)
If you have already added your TM Readout(s) (8.4.a Adding the TM Readout/Word count), you can create a quote based on the word count and matches.
1) Click on “Add Auto Items” on your Quote Items page.
2) Select the language pair from the drop down list to view the TM Readout. The TM Readout should appear in a new window below.
3) Fill out the form below based on your TM Readout.
a. Total – in the 1st row under the Words column, enter the total number of words (word count) based on your TM Readout
b. Unmatched – in the 2nd row under the Rate column, enter the normal rate per word that you charge the Buyer (click on “View Prices” if you can’t remember). Currency must be entered in decimal format for example, 0.14 is correct, 0,14 is incorrect.
c. 100% Matches – in the 3rd row under the Words column, enter the combined total of the 100% matches and Repetitions from the TM Readout.
d. 95-99% Matches - in the 4th row under the Words column, enter the number of 95-99% matches from the TM Readout.
e. 85-94% Matches – in the 5th row under the Words column, enter the number of 85-94% matches from the TM Readout.
Note that the Total column on the right will contain the calculated rates based on the agreed pricelist with the Buyer.
4) Click on “Add Items” to view the new quote. Delete any zero amounts from the quote by clicking on the red ‘X’ on the far right. (This is not mandatory but will
spare the Buyer from seeing unnecessary items on the quote).
5) If you do not have any extra (custom) items to add to the quote, click on “Submit Quote” to send it off to the Buyer.

8.4.d Adding Custom Items
(Note: if you are creating a quote based on Custom Items only and not on a TM Readout, click on the “Add Custom Items” button and refer to steps 1 to 7 below.)
If you have any other items to add to the quote, you can do so by using the Create Custom Quote Items option.
You will notice that after you have created a quote based on the TM Readout, the option to add custom items appears below the TM Readout window.
1) Item Description: - enter a description for the item e.g. DTP work, 50 extra words, handling fee etc.
2) Unit Name: - enter the unit you are going to charge the Buyer in, e.g. hours, words, weeks, etc.
3) Rate: - enter the rate per unit that you will charge, e.g. 0.25 (0.25 per word), 100.00 (fee for one hour of DTP work) etc.
4) Quantity: enter the total number of units. This amount will be multiplied with the rate to provide you with the total cost.
5) Total: - this is calculated automatically once you have filled in the above items.
6) Click on “Add Item” to add the custom item to the quote.
7) To add more custom items, click on “Add Custom Items” and repeat steps 1 to 6.
8) Click on “Submit Quote" to send it off to the Buyer. A message will appear confirming if you wish to submit the quote.
9) Click "OK".

8.4.e Viewing the price list
It is useful to be able to view the price list for the Buyer while preparing the quote as you may not always remember the various rates for different languages or the discounts that you have conceded to the Buyer.
While you are in your quote (otherwise click on the Projects tab, select your project from the list, click on Quote in the menu below the project name, click on Quote Items in the left menu),
1) Click on the “View Prices" button. A new window will appear with the Buyer's price list. You can edit the price list directly in this window, move or resize the window for your own convenience.

8.5 Submitting the quote
After you have prepared a quote, you will have to submit it to the Buyer who will either accept/decline it or request a new quote.
To submit the quote, click on the “Submit Quote” button. A message will appear briefly informing you that the quote has been sent.
Note: Make sure you are in the Quote Items section of your project (Click on the Projects tab, select your project from the list, click on Quote in the menu below the project name, click on Quote Items in the left menu) to view the “Submit Quote” button.

8.6 Receiving quote approval
When the Buyer approves the quote, you will receive an e-mail from ‘Translatus/TDABids.com’ with the subject, ‘TDABids: xx/xxx The quote has been approved. The project is ready for processing.’
You can then begin assigning vendors to the project.

8.7 Amending a quote
Occasionally, you may come across projects that may require additional or less work than what was stated in the original quote or an original quote contains an error that needs to be corrected.
To amend the price of the original quote, you will need to make a quote amendment. Quote amendments are not confirmed until the LSD or Buyer approves them.
1) Click on the Projects tab, select the project from the list. The Project Info page will appear, listing the project Workflow (in the left menu) by default.
2) Click on Quotes (appears in the menu below the project name). You will see the Quote Details page.
3) Click on Quote Amendments in the left menu.
4) Click on the Add New link to bring up the editing window.
5) Enter your reason for the amendment in the window.
6) Check the Add Quote Item box. It will expand to allow you to enter the amount.
7) Enter the Item Description, Unit Name, Rate and Quantity. The total will then be calculated for you. For example:

8) Click on “Add”. A message will appear briefly informing you that the amendment has been added and will show up on your screen.

9) Click on “Send” to send the amendment to the Buyer. A message will appear confirming if you wish to send the amendment.
10) Click “OK”. The Buyer will be notified by TDABids that an amendment has been made.

8.8 Approving/declining a quote amendment
Your Buyer can also make amendments to the quote. If they do, you will receive e-mail notification from TDABids.com with the subject “TDABids: new quote amendment”. Click on the link provided in the e-mail to view the quote amendment or
1) Log in to TDABids.com. You will see your Start page listing all the projects you have or are currently managing.
2) Select the project from the list (alternatively, click on the Projects tab and select it from the list)
3) Click on Quote in the menu below the project name.
4) Click on Quote Amendments in the left menu. The quote amendment should appear, highlighted in yellow.
5) Click on "Approve" to approve the quote amendment or "Disapprove" to decline the quote amendment. A message will appear confirming if you wish to approve or disapprove the amendment.
6) Click “OK” to confirm your decision.

9.0 Managing the project – working with vendors
9.1 File Management
It is important to understand how file management works in TDABids.com. The LSD has access to the Buyers’ and the Vendors' folders; however, vendors are restricted to their own set of folders while Buyers can access all folders in TDABids.com except for the LSD Workflow folder.
There are five main folders in TDABids.com:
• Originals – contains the original files uploaded by the Buyer/LSD and is locked once a quote is requested.
• Support – contains any support files uploaded by the Buyer/LSD
• Processed – contains completed files which is placed here by the LSD after copying/transferring them from the vendor's LSD Workflow>Processed folder.
• Updates - is available only when a project is completed. Files that need further work are placed here by the Buyer/LSD.
• LSD Workflow – this is the Vendor’s folder (they will see it on their interface) and contains its own subset of the Originals, Support, Processed and Updates folder. The LSD MUST transfer any files meant for the vendor to the LSD Workflow folder in order for the vendor to access the files. For example, files in the Originals folder will need to be transferred to the LSD Workflow subfolder Originals.
• Originals>filename.doc > LSD Workflow>Originals>filename.doc

9.3 Vendors’ status once assigned to a project
Once vendors have been assigned to a project in TDABids.com, they will be assigned a new status, depending on what stage of the project each one is in:
• New – you have added a vendor to the task but not sent him/her a bid request yet.
• Waiting – you have sent the vendor a request and are waiting for their decision (to accept or decline the request)
• Ready - the vendor has accepted the request and is waiting for a Purchase Order.
• In Progress – you have sent the Purchase Order to the vendor and the vendor is now working on the project.
• Cancelled – you have cancelled or deleted a vendor from the task.

9.4 Assigning vendors to a project task
While you wait for a buyer to approve a quote or once a quote has been approved, you can identify vendors who are able to accept the work. You may have one specific vendor in mind or several vendors. You can assign these vendors to the task, send them a request and wait to for the vendor(s) to place their bids.
To assign vendors to a project task,
1) Access your project either by selecting it from your Start page (click the Start tab at the top) or from the Projects page (click the Projects tab at the top, select the
project from the list).
2) Click on Tasks in the menu below the project name. You will see your Tasks Overview page.
3) Click on the language tab (e.g. to Japanese(JP)). You will see the Assignments page.
4) Click on Translators Database in the left menu. You will see the Search for Vendors form listing the following:
• Language pair - select the language pair from the drop down list. For a wider search, select “Any to …”
• Native Speaker - check Yes if the vendor is a native speaker otherwise check No for a broader search.
• Key Words - enter keywords if any, for example, e-mail address, last name etc. or leave it blank.
• Location - select the location from the dropdown list or leave it as ‘Doesn’t matter’.
5) Click on “Search”. Results will be returned below the form.
6) Select those vendors you want by clicking on the “Add” button on the far right. A message will appear briefly informing you that you have added the translator to
the task.
7) Click on Assignments in the left menu. You will see those vendors whom you assigned to the task. You will need to send them a bid request.
8) Click on Manage, next to the vendor’s name. You will see a Create Bid Request form. From this point on, you will be creating a bid request to send to the vendor(s).

9.5 Creating and sending a bid request¶
This topic is continued from 9.4 Assigning vendors to a project task.
A bid request may contain your quote for the project based on the vendor’s rates or it can be left blank for vendors to enter their own bid.
9) Delivery Due Date - enter the delivery due date for the project by clicking on the calendar and clock icons. For the time, enter your own time zone. TDABids.com will convert this automatically to the vendor's time zone.
10) Return Format – select ‘Original’ if you want the project to be returned in the original format. If you want the project delivered in a different format, select ‘Custom, please specify’ and then fill in the desired format.
11) Use CAT - select this if you want the vendor to use CAT tools.
12) TM Read-out – is listed by default if you had already entered the TM readout(s) while preparing the quote for the Buyer.
13) Quote – select the type of quote you wish to send to the vendor. Alternatively, you can leave this blank and skip to the next step. You can choose from:
• Simple mode – simply select a currency and enter a price for the project task. This is what you are offering to pay the vendor.
• Custom mode – a more detailed version of the simple quote.
• TM Discounts mode – a quote based on the TM Read-out. You will have to fill out the rate per word yourself. Don’t forget to select a currency.
• TM Discounts (prefilled) – a quote based on the TM Read-out and the vendor’s rate per word. The vendor’s rates and currency to be paid in appear automatically in the form.

14) Enter any request notes.
15) Enter the bidding deadline by clicking on the clock and calendar icons. The bidding deadline is the time given to vendors to respond to your request.
16) Click on the “Send new bid request” button. A message will appear briefly at the top left of your screen informing you that the request has been sent.
As vendors respond to your request, you will be notified via e-mail from ‘Translatus/TDABids’ with the subject “Vendor has responded to the bid request”.

9.6 Types of Quotes – Simple, Custom, TM Discount, TM Discount (prefilled), the Blank quote
The quoting system in TDABids.com is designed to be as flexible as possible, allowing the LSD and vendors to negotiate prices and amend projects (as needed).
A quote is broken down into different sections which form a bid request e-mailed to a vendor. The vendor can decide to approve or amend the one or more of the sections of the quote and accept or decline it. You will be able to view whatever changes the vendor proposes in your Assignments table.
If you do not wish to send a quote and simply require the vendor to bid on a project, just click on the "Send new bid request" button without filling any of the quote details—this is called the ‘Blank Quote’ bid request further explained in 7.5.5.
The five types of quotes you can specify when creating a bid request are: Simple, Custom, TM Discount, TM Discount prefilled and Blank Quote.
9.6.a Types of Quotes: Simple
Enter only the currency and amount of the quote.
1) Select the currency (this could be what you intend to pay the vendors in, or what the vendor wants).
2) Enter the amount/price.
3) Enter your Request Notes if any.
4) Bidding Deadline - select the deadline vendors have until to send in their bids by clicking on the calendar and clock icon.
5) Click on “Send New Bid Request”.

9.6.b Types of Quotes: Custom
The Custom quote mode is a more flexible option to accommodate specific pricing for projects such as interpreting jobs, hourly rates, desktop publishing, additional fees or discounts, or other unique circumstances. It allows you to specify how a project should be priced. (You can enter a per word or hourly rate, for example, Unit: Hours, Rate: 35.00, Quantity: 8.)
1) Select the desired currency.
2) Enter the:
• Item description – e.g. Unmatched words/200 A4 pages to be translated etc.
• Unit Name – e.g. word/page/hour/month/week etc.
• Rate – e.g. 0.12 (specify the unit cost here)
• Quantity – e.g. 1060 (specify the amount/time etc. This will be multiplied by the rate to give you the total cost).
3) Click on “Add Quote Item”. Repeat steps 1 to 3 if necessary to add more items.
4) Enter your Request Notes if any.
5) Bidding Deadline - select the deadline vendors have until to send in their bids by clicking on the calendar and clock icon.
6) Click on “Send New Bid Request”.

9.6.c Types of Quotes: TM Discounts
This allows you to send a quote based on your TM Read-out and any of its matches. However, you may have to fill out the rates per word for one of the following reasons:
• The vendor has not updated his/her rates in TDABids.com and therefore you have to enter them yourself.
• You do not wish to use the vendor’s rates.
How to fill out the TM Read-out form:
The TM Readout form is divided into 3 columns, namely ‘Words’, ‘Rate’ and ‘Total’.
1) Total – enter the total number of words based on your TM Read-out in the Words column.
2) Unmatched – enter the normal rate per word in the Rate column.
3) 100% matches – enter the combined total of repetitions and 100% matches from your TM Read-out in the Words column, and the rate for 100% matches in the
Rate column. Do the same for the other matches. The price for each match is calculated automatically for you.
4) Request notes - fill in any request notes to the vendor if any.
5) Bidding Deadline - select the the deadline vendors have until to send in their bids by clicking on the calendar and clock icon.
6) Click on the “Send new bid request” button.

This allows you to send a quote based on your TM Read-out and the vendor’s rates. If the vendor has filled out his/her rates in their profile, these rates will appear automatically in the TM Read-out form.

9.6.e Types of Quotes: Blank Quote
The fifth type of quote you may specify is the Blank Quote mode.
You do not have to condition the type of quote in a bid request to a vendor. You can leave it entirely up to the vendor to decide what price they will quote you for the specific project hence the ‘Blank Quote’.
Every single detail of the project can be changed by either side, i.e. the LSD and the Vendor until both sides come to an agreement and a purchase order is issued.
Once a purchase order is issued by you to the vendor, any changes to the project details can only be done via amendments –link to amendments section.

9.7 Confirming Vendors' Availability / Checking the vendor’s status
You will receive an e-mail notification from “Translatus/TDABids” with the subject “TDABids: Vendor has responded to the bid request" when a vendor responds to your request. Click on the link provided in the e-mail to access your project.
You can check to see if a vendor has either accepted or declined to work on your project by logging in to TDABids.com, accessing the specific project and checking on the vendor’s status.
1) After you access your project, click on the Tasks tab or alternatively, click on the link provided on your Project Info page which reads, “To review the tasks, please
go to Tasks Page”.
2) Click on the language tab (for example, to Czech) for that vendor. You should see the Assignments page listing the vendor(s) that you added to the task.
Otherwise, click on Assignments in the left menu.
3) The status for each vendor is listed on the right, under the ‘Status’ column.
• New – you have not sent a bid request to the vendor yet.
• Waiting – you have sent a bid request and are waiting for a response from the vendor.
• Ready – the vendor has accepted the bid request (confirmed availability to work on the project) and is now waiting for your Purchase Order.
• In Progress – you have issued a P.O. to the vendor and he/she is now working on the project.
• Finished – the vendor has finished the project and ‘should’ have uploaded the translated files to his/her folder.
• Cancelled – the vendor was unable to work on the project and has declined it .

9.8 Sending the Purchase Order
Once a vendor has confirmed his/her availability for the project (accepting your bid request), you will need to send him/her a P.O. (purchase order).
You will know that a vendor has accepted your bid request when their status has changed from ‘Waiting’ to ‘Ready’(see topic Confirming Vendors' Availability/Checking the vendor’s status). You will also receive an email from Translatus/TDABids.com with the subject: TDABids: Vendor has responded to the bid request.
Once you have confirmed the vendor’s availability and wish to send the P.O.,
1) Access the project (click on the Projects tab, select the project from the list)
2) Click on Tasks, in the menu below the project name.
3) Click on the language tab for that vendor e.g. to Japanese (JP). The vendor’s status should be set to ‘Ready’.
4) Click on Manage next to the vendor’s name. You will see the Assignments table containing the project details and any amendments/changes the vendor might
have made.
5) If you have agreed to all the changes/amendments if any, and the entire Assignments table is highlighted in green, click on the “Send P.O.” button which appears below the table, on the right. A pop up window showing the P.O. will appear.
6) Review the details of the P.O. carefully before sending it. The P.O. will list the following:
• Project Notes (if any)
• General Project Information – date of P.O., due date (of project delivery), Project number, project name, link to project files, language pairs, TM Read-out (if any), cost, delivery format, use of CAT tools and other information. Important comments
• Additional notes
• Billing instructions
7) Click on “Send”. You will see that the vendor's status has changed from Ready to In progress.

9.9 Viewing the Purchase Order (for the vendor)
To view the Purchase Order at any time after having sent it to the vendor,
1) Access the project (Click on the Projects tab at the top, select the project from the list).
2) Click on Tasks in the menu below the project name.
3) Click on the language tab for that vendor e.g. to Japanese (JP). You should see the Assignments page listing the vendor(s) that you added to the task. Otherwise, click on Assignments in the left menu.
4) Click on Manage, next to the vendor’s name. You will see the Assignments table, Additional Request Details, P.O. for this Assignment and Quote Amendments.
5) Click on Click to view under P.O. for this Assignment. A pop up window showing the P.O. will appear.

9.10 Viewing project status
The Projects page lists all the projects the LSD account is handling, along with:
• Project ID – a number which is automatically assigned to every project to help you identify it.
• Who is managing the project – it will show the manager assigned to the project.
• The date the project was created – shows the date you uploaded the project to TDABids.com.
• Status – this will either be New, Bidding in progress, Bidding finished, In progress, Completed, Approved or Rejected.
• Number of tasks - the total number of translation, proof reading and other tasks. For example, if your project needs to be translated into 3 languages and 2 of them
need to be proofread, the total will be 5.
• Buyer’s name – the Buyer who ordered the project

9.11 Viewing the project quote (issued to the Buyer)
To view the project quote,
1) Access the project.
2) Click on Quote in the menu below the project name. You will see the Quote Details page listing the approved quote total at the bottom.
3) For a more detailed view of the quote, click on Quote Items in the left menu.

9.12 Viewing the project cost (for the LSD)
To view how much the LSD will pay for a project (i.e. the cost of paying your vendors to work on a project),
1) Access the project.
2) Click on Info in the menu below the project name.
3) Click on Project Cost in the left menu. You should see the project cost listing all the vendors working on the project, along with the agreed cost (between the LSD and vendor) and the converted cost (converted to the LSD’s preferred currency).

To view a project’s details,
1) Access the project. You will see the project Info page, listing the Workflow page (defaulted in the left menu).
2) Click on Project Details in the left menu. The Project Details page will appear listing:

• Due Date
• Date Created

9.14 Adding a proofreader to a task
The steps to add a proofreader to a task are similar to those of adding a translator to a task.
To add a proof-reader to a specific language task:
1) Access the project.
2) Click on Tasks, just below the project name.
3) Click on the language tab (for example, to Japanese).
4) Click on the Add New tab, below the language tabs.
5) Select Proofreading from the dropdown menu.
6) Click on “Add”. You will now have a Translation tab (if any) and a Proofreading tab below the language tabs.
7) Click on Translator Database in the left menu. You will see a Search for Vendors form.
8) Fill in your search criteria if you are looking for a particular vendor – otherwise, just click the “Search” button to list all vendors who match the language pair.
9) Click on “Search”.
10) Select the vendor you want by clicking on the “Add” button on the right. Repeat this to select more vendors. A message will appear briefly at the top left of your
screen, informing you that you have successfully added the vendor to the task.
11) Click on Assignments in the left menu. You will see a table of vendors that you added to the task.
12) Click on Manage, next to the vendor’s name. You will see a Create Bid Request form. From this point on, you will be creating a Bid Request to send out to the
vendor(s).

9.15 Adding other service providers (vendors) to a task (DTP, editors, etc)
This is the same as adding a proofreader to a task.
1) Access your project.
2) Click on Tasks, just below the project name.
3) Click on the language tab (for example, to Japanese).
4) Click on the Add New tab, below the language tabs.
5) Select Other from the dropdown menu.
6) Click on “Add”. You will now have an Other tab and a Translation/Proofreading tab (if any) below the language tabs.

9.16 The Assignments table
The Assignments table is a color coded table which appears for every vendor that you have assigned to the project. It lists the project's details where each of these details can be edited before a P.O. is sent to the vendor.
The Assignments table is also available to the vendor and is used by you and the vendor during the bidding process to negotiate prices and make any other changes necessary to the project details included in the bid request. Any change that you or the vendor make to the Assignments table is reflected on the other side. Both sides can view the table and its project details, add comments, edit or accept any changes that the other party may have made.

9.16.1 Attributes of the Assignment table
9.16.1.a Color coded:
• Green - both sides have approved that specific project detail.
• Yellow – one side has made a change to the project detail and it now needs approval from the other party.
• Pink – one or both sides have not agreed to the change of a project detail.

9.16.1.b Approval column:¶
The first column of the table is further subdivided into two columns of either ‘ticks’ or ‘check boxes’. The first sub-column reflects the vendor’s status and the second sub column reflects yours.
A tick shows that either you or the vendor, or the both of you have approved a project detail.
An empty check box shows that one or neither of you have not approved a project detail.
To approve or disapprove a project detail, check or uncheck the box in your column. When both sides agree to a project detail, that row in the table will appear in green.

9.16.1.c Project details:
The following project details will appear in the second column of the Assignments table.
• Delivery date – when the vendor should deliver the project.
• Return format – in what format the vendor should deliver the project.
• CAT tools – if the vendor is required to use CAT tools or not.
• TM Read-out – lists the TM Read-out if any. Click on the ‘read more’ link to view the TM Read-out.
• Quote – lists the quote. Click on the ‘read more’ link to view the quote.
• Request notes – lists any notes you may have added for the vendor.

9.16.d Edit and History Option¶
The third (and last) column of the Assignments table lists two icons in every row:
• The edit/pencil icon
• Reverse clock/History icon
To make any changes to a project detail,
1) Click on the ‘Edit/pencil’ icon.
2) Make your changes and then click on the “Update” button. Ensure that all rows in the table are either green or yellow before you send it off for review.
3) Click on the “Send for Review” button which is below the Assignments table on the right.
Important: The “Send for Review” button will not appear if any of the rows in the table are pink. Each project detail needs to be either approved or amended by you before it can be sent off for review.
To view previous history (all the changes) to a project detail,
1) Click on the ‘Reverse clock’ icon. A pop up window will appear showing you all the changes made to that project detail.
2) Click on the left and right arrows to view previous or later changes.

To view the Assignments table for a specific vendor:
1) Access your project.
2) Click on Tasks.
3) Click on the language tab (for example, to Swedish). If you do not see your list of vendors, click on Assignments in the left menu.
4) Click on Manage, next to the vendor’s name. You will see the Assignments table highlighted in green, yellow or pink.

9.19 Adding a new task (i.e., language pair) to the project
Adding a new task to a project corresponds to adding a new language pair. Once you have added the new language pair, you can then go on to all the tasks associated with that language pair such as translation, proofreading or other (DTP, localization, etc).
1) Access your project
2) Click on Tasks, below the project name. The Tasks Overview page will appear otherwise, click on the ‘Tasks Overview’ tab at the top (below the Project Info link).
3) Click on Add New in the left menu.
4) Select the target language, target country (optional) and task type from the dropdown menu.
5) Click on “Add”. You will see the new task tab at the top.

9.22 Amending a Purchase Order
To amend a purchase order that has already been sent to the vendor,
1) Access the project. You will see the project Info page.
2) Click on the Tasks link, just below the project name.
3) Click on the specific language tab for that vendor (for example, to Japanese) and then the appropriate Task tab e.g. Translation.
4) Click on Assignments in the left menu. You will see your list of vendors selected for that particular task.
5) Click on Manage for that particular vendor. You will see the Assignments table, Additional Request Details (for that vendor), the issued P.O. and Quote
Amendments.
6) Click on Add New under Quote Amendments.
7) Enter the reason for the quote amendment.
8) Check the “Add Quote Item” box.
9) Fill in the details of the quote amendment (for example):
a. Unit Name: words
b. Rate: 0.12
c. Quantity: 50
d. Total: 6 (this is automatically calculated)
10) Click on “Add”. The amendment will appear highlighted in yellow.

10.0 Communicating with a Buyer/Vendor
10.1 Receiving messages via e-mail
The messaging application within TDABids.com is “project specific”. A record of all e-mail communication between the Buyer/LSD/Vendor is saved under the project name.
Should a Buyer/Vendor need to contact you, they will send you an e-mail from within the project and you will then be notified by TDABids.com that you have received a Project Message. The content of the message will be displayed in your e-mail account, but you will need to log in to TDABids.com in order to reply.

10.2 Viewing your messages in TDABids.com
While you can view messages from the Buyer/vendor in your regular e-mail account, you will not be able to reply to the message unless you log into TDABids.com.
To view your project e-mails in TDABids.com, simply click on the link provided in the TDABids.com notification e-mail
or
log in to TDABids.com, access your project and click on Messages. The following lists a step by step process of how to access your e-mails:
1) Log in to TDABids.com.
2) Click on the Projects tab.
3) Select the project you want from the list by clicking on the project name.
4) If the message is from a vendor, click on Translator Messages, otherwise click on Buyer Messages, below the project name.
5) You will then see your Inbox, Sent messages and New tab.

10.3 Sending e-mails to the Buyer/Vendor
To send a new message to a Buyer/Vendor regarding a specific project:
1) Access your project in TDABids.com.
2) Click on Buyer Messages if the message is intended for the Buyer, otherwise click on Translator Messages.
3) Click on the New tab to create a new message.
4) Select the name of the person to whom you wish to send the message, from the Recipient's list on the right.
5) Write your message in the Message Details box provided.
6) Click on “Send” once you’ve completed your message. To reply to a message, click on the “Reply” button below the message window.

11.0 Tracking a project
11.1 Accessing a project
“Access your project” refers to the action of opening up a specific project in order to view all of the information associated with the project and carry out certain tasks (sending e-mails, accessing files, accepting request, making bids etc).
When you access your project, you will see you Info page which consists of your Workflow, Project Details, Project Cost and Manager Notes. Workflow, Project Details, Project Cost and Manager Notes can be accessed from the left menu which is set to Workflow by default.
To access your project:
1) Click on the Projects tab at the top.
2) Click on the project name. Your project Info page will appear, listing your Workflow (in the left menu) by default.

11.2 Receiving e-mail/message notifications
The messaging application within TDABids.com is “project specific”. A record of all e-mail communication between the Buyer/LSD/Vendor is saved under the project name.
All e-mail notifications will be sent from the Translatus/TDABids.com account: noreply@tdabids.com. Please do not press reply on your e-mail program to respond to these messages. Any action you need to take will be explained to you in the e-mail text and include a link for you to click on.

11.4 Negotiating bids – Using the Assignments table
TDABids.com allows buyers to negotiate bids with the vendor. Both the LSD and the vendor assigned to the task in a project have access to the Assignments table. The Assignments table allows you to enter all your changes to a project's details including the price, which is then reflected in the other party's table. Through the table, the buyer and the vendor can communicate back and forth, negotiating price and/or other details until an agreement is reached.

Remember: Once an agreement has been reached and a P.O. is issued to the vendor, you will no longer be able to negotiate the price. Any changes made to the quote must be done in the form of quote amendments.

12.0 Working with project files
TDABids.com has an effective filing system that organizes files, minimizing the possibility of confusion, particularly for large projects with multiple files and/or vendors. It also has a ‘file-lock’ feature to assign 'read-only' access and prevent others from corrupting or removing files accidentally.
TDABids.com organizes your files into folders:
• Originals – original files are uploaded here for the LSD to view and download. This folder is locked to prevent tempering while a quote is being prepared.
• Support – additional reference material is uploaded here. This folder is not locked.
• Processed – the LSD will deliver completed files here. The Processed folder is further divided into languages and each language folder will contain its respective task.
For example: The Processed folder contains language folders (which will be named according to the specific tasks involved in the project) which will contain three more folders called Translation, Proofreading and Other.
• Updates - this serves as an ‘annex’ folder. Once a project has been completed, you will no longer be able to upload files to the Originals, Support or Processed folder. If translated/proofread files need further work, files can be uploaded and accessed from the Updates folder.

12.1 Uploading files
Original files to be translated are uploaded to Originals folder while all support/reference material is uploaded to the Support folder.
To upload files:
1) Access your project.
2) Click on Files. You will see 4 folders - Originals, Support, Processed and Updates.
3) If you are uploading to the Originals folder, click on Originals otherwise, click on Support.
4) Click on the ‘Support/Add files to current folder’ icon in the tool bar (same level as Quick jump) which is depicted by a white page with a green ‘+’ over it.
5) Click on "Select" to locate your files. To add more than one file, click on Add input field and repeat the process. The file name should appear next to the “Select” button.
6) Click on "Upload". A message will appear briefly at the top left of your screen informing you that the file(s) has been uploaded successfully. You should also see the file(s) in your folder.

12.2 Downloading files
1) Access your project.
2) Click on Files, which is just below the project name. You will see 4 folders - Original, Support, Processed and Updates.
3) Click on the appropriate folder (e.g. Processed if the vendor has completed the project).
4) Click on the appropriate language folder (e.g. En for English, Sp for Spanish etc).
5) Click on the appropriate Task folder (e.g. Translation, Proofreading or Other).
6) Click on the vendor’s folder.
7) Click on the filename.
8) Click “OK” from the dialogue box to download the file.
9) Choose where you want to save it to and click “Save”.
10) To download more than one file, repeat steps 7-9.

12.8 Using the Quick jump menu
The Quick jump menu offers users a shortcut to access a specific folder. The Quick jump menu is found under Files.
1) Access your project.
2) Click on Files. The Quick jump menu appears in the first row of the table, on the far right.
3) Click on the drop down list to view all the folders.
4) Navigate to the folder you want and click on it. You will automatically be directed to that folder.

13.0 Project Completion
13.1 Leaving vendor feedback / Rating a vendor
When you leave feedback on a vendor who has worked on projects for you, other users (Project Managers, Buyers, etc.) will be able to view the vendor’s profile and see how the vendor performed. This is particularly useful when a user has not worked with a particular vendor before and would like to view a professional reference before deciding to assign a project to the vendor.
You can enter feedback on a vendor once that vendor has completed a task in a project. To leave feedback,
1) Access the project. (Click on the Projects tab, select your project from the list)
2) Click on Tasks, just below the project name.
3) Click on the language tab (for example, to Italian). You will see the vendor assigned to the project for that task.
4) Check the vendor’s status. It should be set to ‘Finished’.
5) Click on Manage for that vendor.
6) Scroll down to the last section which reads Feedback for this assignment.
7) Check one of the rating options provided (Negative, Neutral, Positive).
8) Enter the project number and any additional comments.
9) Click on the “Post feedback” button.

13.2 Completing a project
Once all the vendors have delivered the files, you will receive a TDABids e-mail notification with the subject, “TDABids: Assignment Delivered”). You need to review and transfer the files to the Processed folder and then complete the project. By doing this, TDABids.com will notify the Buyer that the project has been completed and that the files are ready to be collected.
To complete a project,
1) Access the project. You will see the project Workflow page (left menu) under Info, otherwise, click on Workflow in the left menu.
2) Click on the “Complete Project” button. A message will appear confirming if you wish to complete the project.
3) Click “OK”.

13.3 Checking a vendor’s payment information
You can view a vendor's payment information in the Billing Information page in TDABids.com.
To view the Billing Information page for a vendor,
1) Click on the Vendors tab at the top.
2) Select the vendor whose billing information you wish to see (alternatively, search for the vendor using the search options on the right). The vendor’s Account & Contact Info page should appear.
3) Click on Billing Information in the left menu.

14.0 Working with reports

TDABids.com allows you to generate reports which can be filtered according to:
• Date (current year, current month, current week, custom date)
• Status (closed sales, quote in progress, quote finished, in progress, completed and approved)
• Customer ID
• Project ID
• Account Manager
• Project Manager

14.1 Types of reports
Reports can be created independently by date, status, customer ID, project ID, Account Manager, Project Manager, or they can be combined to produce more specific reports. For example, if you wish to see all projects handled by a specific project manager during a specific time period, you would select the the Project Manager from the drop down list, set the custom date and click on “Search”.
You can combine any number of filters to obtain a specific report.

14.2 Creating a report
To create a report,
1) Click on the Reports tab at the top. A search form listing the various filters will appear on the right.
2) Select your criteria for the report
3) Click "Search". The results will appear on the left, listing the Account Names and any projects associated with that account.
4) To view the details of each result in the report, click on the ‘arrow (>>)’ symbol on the left to reveal the project name and ID.
5) If you wish to view the actual project, click on the project name listed. This will redirect you to that project page. However, you will not be able to return to the Reports page and you will have to generate another report to see the rest of the results.
