1.0 Registering


1.1 Accepting an Invitation

If you have received an invitation via e-mail to register with TDABids.com, click on the link in the message and you will be taken to the registration page. In the e-mail you will also be given an invitation code to input during registration.

Important! Invitations are sent from the e-mail account 'noreply@tdabids.com' – and may end up in the Spam folder of your account. Add the e-mail ‘noreply@TDABids.com’ to your address book and follow any additional instructions from your e-mail service provider to ensure all TDABids.com correspondence goes to your Inbox.

1.2 Registering

Go to the TDABids website (http://www.tdabids.com) and click on the Register link in the lower right corner.

Step 1: Enter your invitation code
Enter your invitation code if you have one and the security code provided and press the "Continue" button.

Step 2: Accept the terms and conditions
Read and accept the service’s terms and conditions. In order to proceed with the registration, you must accept the terms and conditions agreement.

Step 3: Enter personal information and create a password
Enter your personal information including a valid e-mail address, your time zone and a telephone number.

Important! The e-mail address you enter will be your username. It will also be the address where you will be sent all correspondence and notifications related to TDABids’ jobs and projects.

Important! We recommend that you choose a password with at least eight characters. Creating an alphanumeric combination (including letters, numbers, upper-and-lower-case, etc) is advisable.

Step 4: Account & Contact Information
List the type of account (i.e., individual or company), your address, postal code and country of residence. Please make sure this is accurate and up-to-date so that your Buyer can contact you as necessary and to ensure proper receipt of invoices.

Step 5: Background & Experience
Enter your background and experience. This is important to ensure that your area of expertise is matched correctly with the search criteria entered by a Buyer looking for a vendor (translator/proofreader) for a specific project. If your information is entered correctly, your profile will appear in the Buyer's search.

Step 6: Translation languages
Enter your language pairs. Simply list the languages that you work with (source and target language). Check the 'and opposite' box if you translate them in reverse order as well: for example, English to Italian and Italian to English.

Step 7: Software
List the type of operating system you have (for example, Microsoft Windows 2000/SP, Mac OSX, Linux etc), translation software that you work with (e.g. J CAT, Trados, Catalyst etc), and other software such as PDF, Word 2003, Adobe Photoshop etc.

Step 8: Prices & Capacity
Enter your translation, repetition and proofreading rates and the number of words you can translate in a day. Please check that your rates are accurate.

Step 9: Create User
After reviewing all the information you entered, click the "Create User" button to complete the registration process.

1.3 Accepting the terms and conditions

This is the second step of the registration process. Please read the terms and conditions agreement carefully. Once you have read them, to continue with your registration, click on the ‘I agree’ box at the bottom of the page.

1.4 Acquiring/Using an invitation code

You will be sent an invitation code—a unique reference ID—when a Buyer invites you to work on a specific project but cannot find you in the TDABids.com database. This code is sent to you in an invitation e-mail from Translatus/TDABids.com, subject: ”You have received an invitation to TDABids”.

Click on the link in the e-mail to complete the simple registration process. After you register, you will receive another e-mail from TDABids.com with the subject Notification of registration. Click on the link provided in this e-mail to verify your e-mail address.

Once your e-mail address is verified, you can log into TDABids.com and access the project request from the Buyer that sent you the invitation.

1.5 Verifying your email address

After you complete the registration process, you will receive another e-mail from TDABids.com with the subject "Notification of registration". Click on the link provided in this e-mail to verify your e-mail address.

Once your e-mail address is verified, you can log into TDABids.com and access the project request from the Buyer that sent you the invitation

2.0 Managing your Profile


2.1 Creating your profile (during the registration process)

You will create your profile during the registration process. The information contained in your profile includes:


• Account & contact info
• Background & experience
• Software
• Prices & capacity
• Billing Information

The information entered above is displayed to Buyers and is necessary for all parties involved to assign projects and prepare accurate quotes.

Note: If a Buyer created an account for you in TDABids.com, refer to topic Updating your profile.

2.2 Viewing your profile

Your profile is divided in five categories:


• Account and Contact Info:
• Background & Experience:
• Software:
• Prices and Capacity:
• Billing Information:
view/change your contact information, e-mail and password information;
view/change your language pairs, combinations and your previous experience;
view/change your operating system(s), translation software and other software programs used;
view/change your rates and pricing options;
view/change your address and other billing information.

To view your profile, log in to TDABids.com with your e-mail address and password, then click on the My Profile tab in the horizontal menu at the top of the page.

2.3 Updating your profile

It is important to keep your profile up-to-date at all times so that Buyers can contact you and calculate the correct quote based on your rates and language pairs.

To view and edit your profile information log into TDABids.com (http://www.tdabids.com).

1) Click on the My Profile tab. In your menu on the left, you will see:
• Account & contact info
• Background & experience
• Software
• Prices & capacity
• Billing Information

2) Click on any of these links to view your information.
3) Click on the “Edit" button at the bottom if to change your information.
4) Click on “Apply Changes” to save and update your information.

2.4 Resetting your password

You can change your password whenever you choose. Log in to your account and:

1) Click on the My Profile tab at the top to be directed by default to Account & Contact info in the left menu. (If you are not, then select Account & Contact info from
the left menu.)
2) Click on the “Edit" button that appears in the Account & Contact Info box at the bottom.
3) Click on Change Password in the left menu.
4)
PasswordEnter your old password
New PasswordEnter your new password
Confirm new PasswordEnter you new password again

5) Click on the “Change Password” button to save this information.

Important! We recommend that you use passwords that are at least eight characters long. Creating an alphanumeric combination (including letters, numbers, upper-and-lower-case, etc) is advisable.

2.5 Setting your rates

You can set rates for different language pairs (custom rates), set a minimum fee or use default rates under the My Profile tab.


2.5.1 Default Rates

Default rates list your preferred currency, word capacity per day, standard rates for translation and proofreading and repetition rates. You can also list your minimum fee here. If you have more than one language pair and have not set different rates for them, they will show the default rate.

To set your default rates for language pairs,

1) Log in to TDABids.com 2) Click on the My Profile tab.
3) Click on Prices & Capacity in the left menu. You will see the Change Default Rates screen.
4) Click on the "Edit” button in the Prices & Capacity window.
5) Enter your rates:
a. Currency – select your preferred currency to be paid in from the dropdown list.
b. Capacity – enter the total number of words you translate in a day.
c. Rate per word – enter your translation and proofreading rate.
d. Rate per hour – enter the hourly rate for translation.
e. Minimum fee – enter your minimum fee. This is the lowest amount you will accept for a project.
f. Repetition rates – enter your rates for the different matches.
6) Click on “Apply Changes”.

2.5.2 Custom Rates

Not all your language pairs may have the same rates and therefore you may not wish to use the Default rates. For example, your rates for Russian to Chinese may be different from Russian to English.

To set custom rates for different language pairs,

1) Log in to TDABids.com
2) Click on the My Profile tab
3) Click in Prices & Capacity in the left menu. You will see the Change Default Rates screen.
4) Click on Custom Rates in the left menu. You will see the Change Custom Rates screen.
5) Enter your rates:
a. Select the language pair from the drop down list
b. Currency – select your preferred currency to be paid in from the dropdown list
c. Capacity – enter the total number of words you translate in a day
d. Rate per word – enter your translation and proofreading rate
e. Rate per hour – enter the hourly rate for translation
f. Minimum fee – enter your minimum fee. This is the lowest amount you will accept for a project.
g. Repetition rates – enter your rates for the different matches.
6) Click on “Apply Changes”.

2.5.3 Minimum fee

You may choose not to accept projects that are quoted below a certain amount –for example, less than US$50. You can set your minimum rate under Prices & Capacity under the My Profile tab. See topics Default Rates and Custom Rates on how to set your minimum fee.

3.0 Logging into your account


3.1 Logging into your account

To log in to TDABids.com:

1) Go to the TDABids.com website at http://www.tdabids.com and click on the Log In link in the upper right corner.
2) Enter your username (your e-mail address) and your password (what you chose during the registration process). Click the Log In button.

Important! If you cannot remember your password, follow the instructions on the ‘Log In’ page to retrieve your password.

3.2 Setting your account to ‘Active’ or ‘Inactive’

In order to receive bid requests and project e-mails, your account must be set to ACTIVE. Please set your account to INACTIVE when you do not wish to receive any e-mails or project requests (e.g. when you are on vacation, sick, or otherwise unavailable).

To set your account to ACTIVE, log in to your account (Related topic: Logging in to your account):

1) Click on the My Account tab.
2) Click on Account Settings in the left hand menu.
3) Check the Account is active box.
4) Click the Save Settings button.
5) Your account status will change to ACTIVE in green at the top of your page.

3.3 Checking for requests

You will be notified via e-mail if a Buyer has sent you a project request. It is not necessary to be logged in to receive new project requests.

To view the project request, files or the details of the project, simply click on the link provided in the e-mail (subject: TDABids: New Availability Request). You will be directed to the project's detail page after logging in.

3.4 Retrieving your password

If you have forgotten your password or Translatus or another translation buyer pre-registered you for an account but did not send you the password, you can retrieve your password in four simple steps.

1) Go to the TDABids.com login page(http://tdabids.com/login.aspx)
2) Click on the link provided in the text 'If you have lost or forgotten your password please click here.'
3) Enter your e-mail address and click on the "Submit" button. Your password will be sent to your e-mail address.
4) Check your e-mail to retrieve it. Once you have your password, return to the login page.


Important! Your username is your e-mail address where you receive notifications and correspondence from TDABids.com.

Note: If you have never logged in to TDABids.com before but you are receiving e-mails from TDABids.com, your account already exists and there is no need to register under a new/different user name and password.

4.0 Getting Projects


4.1 The Assignments table

The Assignments table is a color coded table for every project for which you have been sent a bid request. It lists the project's details and where the details can be edited before a P.O. is sent to you.

The Assignments table is also available to the Buyer and can be used to manage bidding/negotiate prices between you and the Buyer. Any change the Vendor or the Buyer makes to the Assignments table is reflected on the other side. Both sides can instantly view the changes to the table, view project details, add comments, edit or accept any changes.

4.1.1 Attributes of the Assignment table:

4.1.1.1 Color coded:

• Green - both sides have approved that specific project detail.
• Yellow – one side has made a change to the project detail and it now needs approval from the other side.
• Pink - both sides have not agreed to the change of a project detail.

4.1.1.2 Approval column:

The first column of the table is subdivided into two columns. The first sub-column reflects the Buyer’s status and the second sub column reflects yours.

A checked box means a project detail has been approved.
An unmarked box means a project detail has not been approved (and needs approval).

To approve or disapprove a project detail, check or uncheck the box in your column. When both sides agree to a project detail, that row in the table will appear in green.


4.1.1.3 Project details:

The following project details will appear in the second column of the Assignments table.
Delivery date – when you should deliver the project.
Return format – in what format you should deliver the project.
CAT tools – if you are required to use CAT tools or not.
TM Read-out – lists the TM Read-out (if any). Click on the ‘read more’ link to view the TM Read-out.
Quote – lists the quote. Click on the ‘read more’ link to view the quote.
Request notes – lists any notes the Buyer may have included.

4.1.1.4 Edit and History Option

By editing the Assignments table, you can negotiate the price and other project details with the Buyer.

The third (and final) column of the Assignments table lists two icons in every row:

• The edit/pencil icon
• Reverse clock/Hist. icon

To make any changes to a project detail,
1) Click on the Edit/pencil icon.
2) Make your changes and then click on the “Update” button. Ensure that all rows in the matrix are either green or yellow before you send it off for review.
3) Click on the “Place Your Bid” button which is below the Assignments table on the right.

Important: The “Place Your Bid” button will not appear if any of the rows in the table are pink. Each project detail needs to be approved by at least one person before it can be sent off for review.

To view previous history (all the changes) to a project detail,
1) Click on the Reverse clock icon. A pop up window will appear showing you all the changes made to that project detail.
2) Click on the left and right arrows to view previous or later changes.

4.2 Viewing the Assignments table

To view the Assignments table for a project,

1) Access your project. The table will appear on your Workflow page. If you cannot see the table, click on Workflow in the left menu.

4.3 Receiving alerts/email notifications

Once you are registered, and you have set your account status to Active, you will receive all project requests and Buyer messages, via e-mail. To answer requests or to reply to your messages, you will need to log in to TDABids.com. You can do this by clicking on the link provided in the message to be taken directly to the site section pertaining to the e-mail message.

4.4 Receiving a bid request

When Buyers wants you to work on a project, they will send you a bid request in the form of an e-mail from Translatus/TDABids.com with the subject TDABids: New Bid Request. Click on the link provided in the e-mail to view the project details. A bid request may contain a quote for the project based on your rates or the quote may have been left blank for you to bid on the project. Listed in the bid request are the:

1) Delivery Due Date - the delivery due date and time for the project.
2) Return Format – this will be set to ‘Original’ if the Buyer wants the project to be returned in the original format. Otherwise the Buyer will specify the required
format.
3) Use CAT – this will be set to ‘Yes’ if the Buyer wants you to use CAT tools.
4) TM Read-out – this will contain the TM Read-out if there is one. The TM Read-out is a document that lists the word count for the project as well as any repetitions.
5) Quote – this will be set to ‘undefined’ if the Buyer wants you to enter your bid. Otherwise, this will be set to ‘defined’ with the Buyer’s offer next to it. Click on the
‘read more’ link to view it.

4.6 Viewing project status

In the section My Projects you can view all the projects you have worked on, are working on or pending approval. To view a project and the project’s status:

1) Log in and click on the My Projects tab. You will be taken to a page listing all your projects.
2) Under the project name, will be the project details as well as any notes intended for you. It will also indicate at what phase the project is in:
• Phase 1 - Respond to the request (a Buyer has sent you a bid request)
• Phase 2 - Pending (you are waiting for the Buyer to confirm your quote and/or accept your offer and send you a Purchase Order)
• Phase 3 - Please process (the LSD/Buyer has accepted your offer and has sent you the Purchase Order. You can begin work on the project)
• Phase 4 - Create an invoice (you have completed the project and now need to send the Buyer an invoice)

4.7 Viewing the project quote in the Assignments table

First, access the project by clicking on the project name. You will be taken to the Workflow page, showing the Assignments table.

To view the quote and project details you have two options:

1) Click on the link provided in your e-mail, log in to TDABids.com and click on the ‘read more’ link in the Assignments table.

OR

1) Log in to TDABids.com and click on the My Projects tab. Select the project by clicking on the project name. You will see your Workflow page and bid details which
are contained in a colored table called the Assignments table.
2) Click on the ‘read more’ link in the Assignments table, to see your quote.

4.8 Viewing the project details

The Project Info page provides you with a quick overview of a project's details including:

• Request details
• Project details

To view a project's details:

1) Log in to TDABids.com
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue).
4) Click on Project Info in the left menu.

The Project Info page also provides you with a link to view the project files.

4.10 Placing a bid/Accepting the project

After you have viewed the quote and the project files, and you have decided to accept the project, you must place your bid. By placing a bid, you are indicating to the Buyer that you are available to accept the project.

To place a bid, each row in the Assignments table must be either in green or yellow. Green means both you and the Buyer have approved the project detail while yellow means you or the Buyer have edited the project detail. Pink indicates that either you or the Buyer have not approved the project detail and some form of action is required (i.e. edit the detail and send it for review).

To do this, click on the "Place Your Bid" button on the Workflow page. You must wait for the LS or Buyer to send you a Purchase Order (PO) before you can begin working on a project.

To find your Workflow page (if you are not already on it):

1) Log in to TDABids.com
2) Click on My Projects tab
3) Select the project you want from the list by clicking on the project name (marked in blue). You will be defaulted to Workflow (left menu) under the Workflow tab.
4) Edit or approve each project detail in the Assignments table and click on the "Update" button. That row should change to green or yellow.
5) Click on the "Place Your Bid" button to accept the project. A pop up window will appear confirming if you wish to place this bid.
6) Click on “OK”. A message will appear briefly at the top left of your screen informing you that the bid has been submitted.

4.11 Declining a bid request/Cancelling a request

If for some reason you cannot accept a bid request (for example: you are too busy, going on vacation, the quote is wrong etc), you can decline it.

To decline a request, you can click on the link provided in the bid request e-mail or,

1) Log in to TDABids.com.
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue). You will see the Assignments table on your Workflow page.
4) Click on the “Cancel Request" button. A pop up window will appear confirming if you wish to cancel your bid.
5) Click on “OK”. A pop up message will appear briefly at the top left of your screen informing you that the bid has been cancelled.

4.12 Recalling a bid

If you wish to change your bid for a project, you have the option to recall it. After you recall it, you can place a new bid.

1) Log in to TDABids.com.
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue). You will see the Assignments table on your Workflow page.
4) Click on the “Recall Bid” button below the table. A pop up message will appear confirming if you wish to recall the bid.
5) Click on "OK". A message will appear briefly at the top left of your screen informing you that the bid has been recalled.

4.13 Negotiating a bid – using the Assignments table

TDABids.com allows you to negotiate bids directly with the Buyer. Both you and the Buyer have access to the Assignments table. The Assignments table allows you to enter all your changes to a project's details including price. The Vendor and the Buyer can communicate back and forth over price and other details until they reach an agreement.

Remember: Once an agreement has been reached and a P.O. has been received from the Buyer, you will no longer be able to negotiate over price. Any other changes made to the quote needs to be done in the form of quote amendments.

4.15 Amending a quote (calculating additional fees) after receiving a P.O.

Occasionally, you will come across projects that may require additional or less work than what was stated in the original quote.

To amend the price of the original quote, you will need to make a quote amendment. Quote amendments are not confirmed until the LSD or Buyer sees these changes and approves them.

To amend a quote: (skip 1 and 2 if you are already in your project page)

1) Log in to TDABids.com
2) Click on My Projects tab
3) Select the project you want from the list by clicking on the project name (marked in blue). You will see the Assignments table, Purchase Order details and Quote
Amendments on your Workflow page.
4) Click on Add New in the Quote Amendments box. The window will expand to reveal a field to enter the reason for the amendment.
5) Enter your reason for the quote amendment. For example, ‘Extra 50 words in document’, '50 less words in document' etc.
6) Check the Add Quote Item box. It will expand to allow you to enter the amount.
7) Enter the Item Description, Unit Name, Rate and Quantity. The total will then be calculated for you. For example:

a. Item DescriptionExtra 50 words
b. Unit NameWords (files, pages, hours, images etc)
c. Rate0.09
d. Quantity50

8) Click on “Add”. The LSD/Buyer is automatically notified by TDABids that an amendment has been made.

If you wish to subtract a fee, simply add a negative sign ‘-‘ in front of the rate amount. For example:

a. Item DescriptionLess 50 words
b. Unit NameWords (files, pages, hours, images etc)
c. Rate-0.09
d. Quantity50

Your total will then show a negative amount. Click on “Add” to continue.

Your new quote amendment will show up in yellow on the screen. Once this amendment is approved by the LSD or Buyer, it will change to green.

5.0 Communicating with a Buyer/LSD


5.1 Receiving messages via email

The messaging center within TDABids.com keeps a record of all e-mail communication between the Buyer and the Vendor.

All correspondence between you and the Buyer is saved within each project file, making it easy to search for e-mails in reference to a project or identifying the project manager you are working with. It is extremely helpful when you are working on several projects at once which are being handled by different project managers.

To access or send e-mails related to a specific project:
1) Access the project by clicking on the My Projects tab and click on the project name.
2) Click on Project Messages.


If a Buyer needs to contact you, they will send you an e-mail from the project and you will then be notified by TDABids.com that you have received a Project Message. The Buyer’s message will be displayed in the e-mail message, but you will need to log in to TDABids.com in order to reply.

The subject title on the notification e-mail will say:TDABids: New Project Message

5.2 Viewing your messages in TDABids

To view your project e-mails logged in to the TDABids.com site, simply click on the link provided in the notification e-mail

1) Log in to TDABids.com
2) Click on My Projects tab
3) Select the project you want from the list by clicking on the project name
4) Click on Project Messages
5) You will then see your Inbox, Sent messages and New message tab.

5.3 Sending e-mails to the LSD/Buyer

To send a new message to the Buyer in regards to a specific project:

1) Log in to TDABids.com
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name.
4) Click on Project Messages located under the project name.
5) Click on the New tab to create a new message.
6) Select the name of the person to whom you wish to send the message, from the Recipient's list on the right.
7) Write your message in the Message box provided.
8) Click on “Send” to send your message.


To reply to a message, simply click on the “Reply” button below the message window.

6.0 Getting started on a project


6.1 Access your project

To view all of the information and carry out any tasks (sending e-mails, accessing files, accepting request, making bids, etc) related to a specific project:

1) Log in to TDABids.
2) Click on the My Projects tab at the top. You will see a list of all the projects you have worked on so far.
3) Select the project you want by clicking on the project name (marked in blue) to go to the project page.

6.2 Receiving notice of a purchase order

You can begin working on a project once you have received a Purchase Order (PO) from the Buyer.

Once the Buyer decides to award you the project, you will receive a PO in an e-mail message sent from from the address noreply@tdabids with the subject, TDABids: Please Process.

7.0 Working with project files


7.1 Downloading files

The source files are located in the Original folder and reference materials will be available in the Support folder. If you have already viewed the quote and you are on the project page, click on Project Files and skip to step 4 below.

Otherwise:

1) Log in to TDABids.com
2) Click on My Projects tab
3) Select the project you want from the list by clicking on the project name (marked in blue).
4) Click on Project Files, which is just below the project name. You will see 4 folders - Original, Support, Processed and Updates.
5) Click on the Original folder.
6) Click on the filename.
7) Click “OK” from the dialogue box to download the file.
8) Choose where you want to save it to and click “Save”.
9) Repeat the same steps if there is more than one file.
10) Do the same for the Support folder if there are support files.

7.2 Viewing files

To view a project's files, you will need to download them first. See Downloading files.

7.3 Uploading files as a translator

To upload files to the Processed folder:

1) Log in to TDABids.com.
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue).
4) Select Project Files just below the project name.
5) Select the Processed folder and then locate your language folder (abbreviated e.g. sp for Spanish).
6) Continue clicking until you arrive at the folder with your name. After you click on it, two new icons will appear i.e. ‘Create new subfolder’ and ‘Upload/Add files to
current folder’ in the tool bar (same level as 'Quick jump')
7) Click on the Upload/ Add files to current folder icon.
8) Click on "Select" to locate your files. To add more than one file, click on Add input field.
9) Ensure that your destination folder is set to your name.
10) Click on "Upload". Files will appear in the folder once they’ve been uploaded.
11) Navigate back to Workflow (located below the project name) to complete the project once you have finished uploading the files.
12) Click on the “Complete Task” button in the yellow box. A pop window will appear asking if you have uploaded your files.
13) Click on the “Complete Project” button.


Alternatively, access your folder quickly by using the Quick jump menu. From the drop down list, select the folder with your name under Processed. This replaces steps 5 and 6.

7.4 Uploading files as a proofreader

To upload files to the Proofreading folder,

1) Log in to TDABids.com
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue).
4) Select Project Files just below the project name.
5) Select the Processed folder and then locate your language folder (abbreviated e.g. sp for Spanish).
6) Click on the Proofreading folder which contains a folder with your name, also known as the root folder.
7) Click on your folder. Two new icons will appear i.e. ‘Create new subfolder’ and ‘Upload/Add files to current folder’ in the tool bar (same level as 'Quick jump').
8) Click on ‘Upload/Add files to current folder’ (depicted by a white page with a green ‘+’ over it).
9) Click on "Select" to locate your files. To add more than one file, click on ‘Add input field’.
10) Ensure that your destination folder is set to your name.
11) Click on "Upload". Files will appear in the folder once they’ve been uploaded.
12) Navigate back to Workflow (located below the project name) to complete the project once you have finished uploading the files.
13) Click on the “Complete Task” button in the yellow box. A pop window will appear asking if you have uploaded your files.
14) Click on the “Complete Project” button.

7.5 Using the Quick jump menu

By using the Quick jump menu, the time taken to access a specific folder is greatly reduced. The Quick jump menu is found under Project Files.

1) Log in to TDABids.com.
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue).
4) Click on Project Files. The Quick jump menu appears in the first row of the table, on the far right.
5) Click on the drop down list to view all the folders.
6) Open a particular folder and click on it. You will automatically be directed to that folder.

8.0 Completing a project


8.1 Uploading files

Once you have finished the project, you will need to upload the completed files to the Processed folder and complete the task. See Uploading files as a translator or Uploading files as a proofreader under Working with project files on how to upload your files.

8.2 Using the Updates folder

The Updates folder only becomes available after a task has been completed.

If for any reason, after completing a project, additional work is required on the files that you submitted to the Buyer, you can upload revised or modified files to the Updates folder. To do this, see Uploading files as a translator or Uploading files as a proofreader. Instead of selecting the Processed folder in step 5, select the Updates folder and continue with the steps.

8.3 Using the ‘Other’ folder

The Other folder is meant for tasks that are not related to Translation or Proofreading and only exists if the project requires it. This may happen when the Buyer would need to outsource desk top publishing or web design etc. and therefore assigns a freelance web or graphics designer to the project.

8.4 Completing the project

After you have uploaded your files to the Processed (under Translation or Proofreading) folder, you will need to complete the project. This indicates to the Buyer that you have delivered your work and that the files are ready to be collected.

To complete the project: 1) Log in to TDABids.com
2) Click on My Projects tab
3) Select the project you want from the list by clicking on the project name (marked in blue). You will see the Assignments table on the Workflow page.
4) Click on the “Complete Task” button at the bottom of the page. A pop up window will appear asking, 'Do you have your translated files uploaded? If no, you should
upload processed files.’
5) Click on “Complete Project” if you have already uploaded your files. Otherwise, click on the link provided or “Cancel” and return to Uploading files as a translator/Uploading files as a proofreader.

8.5 Getting paid

Submit your invoice to the Buyer via electronic or regular mail (do not use TDABids.com for this). The Buyer's billing address and instructions are available in the Purchase Order. See Checking the Buyer Billing Information to obtain the Buyer information.

8.7 Viewing the Buyer Billing Information

Once you have completed a project, you can view the Buyer’s billing information to create your invoice. To do this:

1) Log in to TDABids.com
2) Click on My Projects tab.
3) Select the project you want from the list by clicking on the project name (marked in blue). You will see the Assignments table on the Workflow page. Click on the
‘Click to view’ link under Purchase Order Details.
4) Scroll to the bottom. You will see the Billing Instructions and address.
